JOB SUMMARY :

Provides administrative clerical assistance and support to Fire Rescue Support Services function of the County. Maintains accurate records regarding supply distribution, inventory tracking, deliveries, departmental logistics, and the daily mail route. Also involves assisting the public and department personnel with problems and questions; maintains all records related to supply and support service activities.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :

Provides requested information to department personnel and the public by telephone and in person; types and answers written requests for information.

Receives, sorts, and routes incoming mail and departmental documents; delivers interoffice mail, packages, and materials along an established mail route to various County fire stations, divisions, and offices.

Assists with the preparation, maintenance, and organization of various supply records, inventories, lists, and logs pertinent to Support Services operations.

Arranges and files supply documentation, delivery receipts, inventory reports, and related materials by date, time, and category. Maintains other filing systems by cross-indexing documents and correspondence alphabetically, numerically, or by any other established classification. Enters supply or inventory data into computer systems.

Assists with receiving shipments, checking in supplies, inspecting items for accuracy or damage, and preparing materials for distribution to stations.

Copies supply-related documents and disseminates information to appropriate divisions; maintains daily documentation related to deliveries and supply movement.

Researches supply records and inventory histories for pertinent information; verifies stock numbers, equipment identification numbers, and material availability.

Maintains supply cards and documents with current status, distribution history, and inventory changes.

Prepares routine departmental forms and documents related to supply movement, inventory reconciliation, or distribution requests.

Codes, types, and disseminates appropriate information and reports relevant to the department’s established operations, procedures, and policies.

Assists department personnel with basic clerical needs, including filing, document preparation, and general administrative support.

Assists other clerical personnel or Support Services staff as needed.

Performs other relevant work as assigned.

Regular and predictable attendance is required.

MINIMUM QUALIFICATIONS REQUIRED :

Education and Experience:

High school diploma G.E.D.

Two years’ general clerical experience.

Any equivalent combination of education and experience which provides the minimum level of qualifications stated above.

Licenses and Certifications:

Valid Class C driver’s license and a clean driving record.

Knowledge, Skills and Abilities:

Knowledge of general office and supply terminology and procedures to include business arithmetic and English.

Knowledge of departmental rules, regulations, procedures, and forms in order to provide accurate and complete information in the correct manner and format.

Knowledge of federal regulations governing the release of information (Privacy Act).

Skill in typing, filing and indexing materials with speed and accuracy.

Skill in operating modern office equipment to include accessing a computer for specific information.

Ability to understand and follow oral and written instructions.

Ability to exercise tact and courtesy in dealing with the public and department personnel.

Ability to communicate effectively both orally and in writing

Physical Ability:

Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing); operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion; concentrate on tasks; remember names and other details; examine and observe details; make decisions; and adjust to change. Incumbents must also continuously direct others; meet deadlines; stay organized; use math/calculations and use a keyboard/type.

Essential functions frequently require the ability to move about inside the office; and move/transport items up to 10 lbs.

Essential functions occasionally require the ability to bend body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. Incumbents in this position are occasionally required to be on-call and work irregular hours.

Sensory Requirements:

Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

Essential functions of this position continuously require the ability to either work with others or work alone.
