Job description

The Master Data Specialist owns the accuracy, completeness, and governance of supply chain master data across the organization's ERP and business systems. This is a hands‑on role in an organization that is actively building its data foundation: the analyst will not only maintain records but help define the standards, processes, and controls that do not fully exist today.

The role covers four core data domains — materials/items, vendors/suppliers, customers, and BOMs/routings — and requires someone comfortable working across multiple systems, executing high‑volume data updates, and bringing structure where processes are still informal.

Key Responsibilities
Master Data Maintenance & System Updates
  • Create, update, extend, and deactivate master data records (items/materials, vendors, customers, BOMs, routings) across all ERP and connected systems.
  • Execute mass data updates and migrations using system tools, upload templates, and data‑loading utilities; validate results before and after changes.
  • Ensure cross-system consistency: when a record changes in one system, verify and synchronize dependent systems and downstream processes.
  • Process master data change requests within defined SLAs, verifying completeness and required approvals before entry.
Data Quality & Cleansing
  • Run recurring data quality audits (duplicates, missing fields, inconsistent units of measure, invalid statuses, orphaned BOM components) and remediate findings.
  • Establish and maintain data quality KPIs and dashboards; report accuracy and completeness metrics to your manager on a defined cadence.
  • Lead data cleansing initiatives, including preparation for system implementations, upgrades, or acquisitions.
Governance & Process Development
  • Help define and document master data standards: naming conventions, field definitions, mandatory attributes, and approval workflows for each data domain.
  • Draft and maintain SOPs and work instructions for master data creation and change processes.
  • Act as gatekeeper: challenge incomplete or non-standard data requests and route them through the correct approval path.
  • Support the rollout of data governance practices to other departments (procurement, sales, finance, operations) that consume or submit master data.
Cross-Functional Support & Analysis
  • Serve as the primary point of contact for master data questions from procurement, planning, warehouse, sales, and finance teams.
  • Support ERP projects, integrations, and system testing where master data is involved (UAT, data validation, cutover support).
  • Produce ad hoc analyses and extracts (e.g., item usage, vendor rationalization, BOM cost roll‑up inputs) as requested.
Qualifications
Required
  • 2–5 years of hands‑on experience in master data maintenance within a supply chain, manufacturing, or distribution environment.
  • Demonstrated experience performing master data creation and mass updates directly in at least one major ERP (e.g., SAP, Oracle/NetSuite, Microsoft Dynamics 365); ability to learn additional systems quickly, as this role works across multiple platforms.
  • Working knowledge of at least two of the four data domains: material/item master, vendor master, customer master, BOMs/routings.
  • IA skills and Excel skills (lookups, pivot tables, data cleaning at scale); experience with data upload/import templates and validation.
  • High attention to detail with a documented track record of accuracy in high‑volume data work.
  • Ability to write clear process documentation and communicate data standards to non‑technical colleagues.
Preferred
  • Experience in an organization building master data governance from an early stage (defining standards rather than inheriting them).
  • Exposure to data quality or MDM tools, SQL, or Power BI/reporting tools.
  • Experience supporting an ERP implementation, migration, or consolidation.
  • Understanding of how master data drives downstream processes: MRP, procurement, costing, and order management.
  • APICS/ASCM (CPIM) or similar supply chain certification.
  • Accuracy and rigor — treats data errors as defects, not inconveniences.
  • Process orientation — builds repeatable methods rather than one‑off fixes.
  • Ownership — follows issues to root cause across systems and departments.
  • Communication — can explain data requirements to requesters and push back constructively on bad inputs.
  • Adaptability — comfortable in a maturing organization where standards are still being defined.
Success Measures (First 12 Months)
  • Documented data standards and SOPs in place for all four data domains.
  • Baseline data quality audit completed for each domain, with a remediation plan and measurable improvement.
  • Master data change‑request process defined, communicated, and adopted, with SLA tracking.
  • Cross‑system data consistency checks established and running on a regular cadence.
Growth Path

This role is scoped at the analyst/specialist level with a defined path toward Senior Analyst or Master Data Manager as the organization's data governance function matures.
