  • Grade Determinations: In addition to the basic requirements for employment listed in paragraph 3 above - the following education and experience criteria must be met when determining the grade of candidates: Supervisory Medical Support Assistant - GS-8 (a) Experience
  • One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient - outpatient - or interdisciplinary setting
  • (b) Assignment
  • For all supervisory assignments the Supervisory MSA must spend 25% or more of their time providing administrative and technical supervision and perform major duties above those at the FPL that consist of significant scope - complexity - difficulty - and variety
  • Supervisory MSAs at this level plan and direct programs at medical centers and/or satellite outpatient clinics
  • They have full responsibility for supervising at least one subordinate MSA team leader - supervisor - or equivalent administrative patient support staff in a VA medical inpatient - outpatient - or interdisciplinary setting
  • Assignments at this level include but are not limited to evaluating the work of subordinate staff
  • resolving complex problems to ensure patient services are met
  • evaluating new products - equipment - and systems to make recommendations for improved operations
  • identifying educational or training needs
  • making final decisions on hiring selections
  • evaluating performance and taking disciplinary action when necessary
  • The employee has administrative and professional responsibility for planning and directing the subordinate lead - supervisor - and MSA's activities
  • Responsible for extracting and analyzing data to provide reports to senior management in support of tracking measures
  • (c) Demonstrated Knowledge - Skills - and Abilities
  • In addition to the experience above - the candidate must demonstrate the following KSAs: Advanced knowledge of managing or leading patient support staff in a clinic
  • This includes independently utilizing reference sources - decision making - and empowering the team to collaborate and resolve problems within a complex systems environment
  • Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work - performance evaluations - selection of staff - and recommendation of awards and/or advancements
  • Ability to collaborate - communicate - and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations
  • Ability to provide briefings - orientations - staff development - and training in a patient support setting
  • Ability to manage fiscal matters - forecast resource and equipment needs - and identify budget needs

  • The work is primarily sedentary (6-8 hrs.) although - there is some walking (1 hr.) - bending (1 hr.) - and carrying of bulky files (1-10 lbs.) and some extended periods of standing (2 hrs).
Duties

  • Responsible for ensuring the management of accurate and timely patient care coordination for the area in which they are assigned - coordinating clinic administrative support activities in conjunction with the Leadership - Section Chief - nursing and providers
  • Acts as contact and resource for answering a variety of patients
  • questions regarding VA health care access - primary care systems - concerns - complaints - and eligibility
  • Guides Veterans - provides Information and assistance and or refers to appropriate assistance in a timely manner
  • Is the delegated authority necessary to manage assigned clinical administration areas - performing the full range of supervisory duties and responsibilities to effectively to utilize the manpower and resources allocated to Health Administration Service (HAS)
  • Supervises a team of Medical Support Assistants - Eligibility Clerks - and Administrative Assistants to ensure the coordination of care
  • Works closely with the Charge Nurse - Managers - Physicians and Leadership to assists with coordinating patient care for their areas
  • Has daily and frequent personal and telephonic contact with a variety of individuals to include physicians - nurses - technical support staff - veteran patients and their families and Veteran Service Officers

  • When setting pay - a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade)
