Job summary

DaMar Staffing seeks a Supervisory Medical Records Technician (Coder) to oversee the clinical coding program, ensure proper code assignment, and supervise staff. The role supports facility-wide coding compliance and drives documentation accuracy.

The incumbent applies UHDDS definitions, coordinates with health administration, and leads training efforts to maintain high coding quality and compliance. Telework may be allowed per agency policy.

Supervisory Medical Records Technician (Coder)

The Supervisory Medical Records Technician (Coder), serves as overseer and coordinator of the Clinical Coding Program. The position functions as a technical expert in documentation requirements for correct code assignment and resident supervision. The Supervisory MRT (Coder), will contribute to the organization's mission and goals by assisting in the planning, development, implementation, and maintenance of a facility-wide coding compliance program.

Duties include but are not limited to the following:

  • Applies comprehensive knowledge of medical terminology, anatomy & physiology, disease processes, treatment modalities, diagnostic tests, medications, procedures as well as the principles and practices of health services and the organizational structure to ensure proper code selection.
  • Selects and assigns codes from the current version of several coding systems to include current versions of the International Classification of Diseases (ICD), Current Procedural Terminology (CPT), and/or Healthcare Common Procedure Coding System (HCPCS).
  • Perform duties under the direction of the Chief, HIMS and serves as a primary source to the Health Administration Service and all clinical services/sections for Diagnosis Related Group (DRG), Ambulatory Payment Classifications (APC), as well as other disease and procedure classification systems.
  • Develops performance standards and conducts performance evaluations for subordinate staff.
  • Interviews new employees, recommends selection, and carries out training and development of reassignments, awards or disciplinary action. Approves leave schedules.
  • Implements provisions of EEO programs to ensure fair and equal treatment for all employees.
  • Keeps employees informed of management goals and objectives and higher levels supervisors informed of employee participation and concerns.
  • Correctly applies current Uniform Hospital Discharge Data Set (UHDDS) definitions for code assignment.
  • Ensure that the Patient Treatment File (PTF) process is complete, Patient Care Encounters (PCE), monthly closeout, annual patient census, as well as other recurring special data collection projects delegated by the facility.
  • Assist in coordination of the Veterans Equitable Resource Allocation (VERA) Patient Classification Program.
  • Provide guidance on documentation requirements for correct patient workload capture and code assignment for determination of vesting status.
  • Provide expertise on coding and billing actions to improve collections.
  • Make final determinations on the use and submission of ICD-9/10 and CPT-4 codes used to record new diagnostic terms, treatments, drugs, procedures, and therapies for which no reference of precedent is available.

Work Schedule: Monday-Friday; 7:30am-4:00pm or 8:00am-4:30pm

Pay: Competitive salary and regular salary increases

Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)

Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.

Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66

Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA

Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement)
