Oversees the functions of the front office process, including day to dayand long term planning in coordination with the Bloomfield Oncology Manager. Supervises and trains front office staff andmedical assistants. Coordinates theintake of new patient referrals and post hospital discharge consults.

Essential Functionsand Responsibilities:

Provides service excellence standards:

Responds promptly,professionally and courteously to all customers’ needs.

Cooperates andcommunicates effectively with all McLaren Oakland team members.

Assistsmanager in planning, maintaining and scheduling of the office, both staff andpatient.

AssistsManager with employee payroll when necessary.

Assistsmanager and contributes to the Performance Improvement process.

Coordinatesall new patient referrals and post hospital consults, including scheduling ofappointments, intake forms, collection of records, communication withpatient/family, staff and ancillarystaff.

Maintainspatient databases, medical records and collection of appropriate participantinformation.

Troubleshootscomputer and medical equipment problems with timely notification of properdepartments.

Works inconjunction with Bloomfield Oncology Manager in planning, recommending and/orimplementing action necessary to improve overall delivery of quality patientcare.

Identifiesproblem areas and initiates problem solving resolutions in collaboration withthe manager.

Consultsin personnel decisions with Bloomfield Oncology Manager regarding hiring,promotion, or termination of front office staff and medical assistants

Overseesthe Point of Service collections and accuracy of petty cash funds. Ensuresdeposits are completed timely.

Ensures frontoffice staff and medical assistants are trained on the EMR and updates trainingas needed.

Ensuresfront office staff and medical assistants assigned to checkout have access to,and are properly trained in the all Patient Access required Programs such as Paragon,Ipayx, AHI etc

Covers front desk and check out as needed,and flexes to meet department needs and objectives.

Practices cost effective measures.

Responsible for purchasing office supplies and materials as neededin collaboration with the manager.

Ensuresdeposits are completed timely and accurately.

Answersand responds to phone inquiries from patient and/or insurance carriers.

Maintains responsibility for ownprofessional development and Leadership required classes.

Identifies self as a resource for staff,physicians, patients and manager. Maintains accessibility to above customers.

Qualifications:
Required:
  • High School Diploma.
  • One to three years related experience ina health care setting required.
Preferred:
  • Associate’s degree in a related fieldpreferred.
