Job Description - Supervisor I, Student Record Services (226 Days) (RTP20241115-007)

Description

  1. Work cooperatively with customers in the processing of paperwork, maintenance of work schedules, maintenance of contract and evaluation rosters, changing of data in HRIS via PPAs, filling out of questionnaires, etc.
  2. Construct, maintain, and provide quality control of the various Human Resource Services databases including Winocular, HRIS, job verification, and Separated Employee File archive databases.
  3. Maintain and upgrade scanning and imaging equipment.
  4. Ensure data integrity by reviewing error reports and making appropriate changes in the HRIS database.
  5. Review HR content on the district website and develop or suggest improvements or revisions whenever necessary.
  6. In cooperation with customers, identify and take adequate steps to protect and preserve essential district records and those records of permanent value.
  7. Research federal and state codes and district policy to ensure compliance and that changes are incorporated into written procedures.
  8. Advise Human Resource Services staff regarding information received from state agencies, changes to district policy, and department head directives.
  9. Label and index records bound for archive, as necessary.
  10. Perform physical delivery and pickup of files to and from archive.
  11. Keep abreast of technical, legislative, and professional trends and developments related to human resources records management, and disseminate information to appropriate district personnel.
  12. Supervise the activities of direct report in accordance with the district’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  13. Perform all other tasks and duties as assigned.
  14. All Federally funded incumbents of this position must comply with time and effort reporting requirements through personnel activity reports or periodic certification, as appropriate.

Qualifications

  1. Required Bachelor’s Degree from an accredited university
  2. Preferred 3-5 years of direct records management experience; Certified Records Management (CRM) experience preferred
  3. Demonstrated knowledge of archival and records management principles and practices.
  4. Demonstrated ability to establish and maintain cooperative relationships with all levels of district personnel.
  5. Demonstrated computer skills, specifically with MS Windows, MS Office Professional, and Oracle.
  6. Demonstrated knowledge of and experience with scanning and imaging equipment.
  7. Demonstrated ability to maintain confidentiality of information.
  8. Demonstrated strong organizational, communication, and interpersonal skills required to achieve the goals of the position.
