This position leads and supervises the daily operations of all personnel and processes within the department’s appointment desks. The incumbent plans, organizes, and directs all operational functions, including staffing, staff development, and training. They implement policies and procedures to maximize efficiency, serve customers, and maintain employee morale and patient satisfaction. The supervisor leads the unit according to organizational values and expectations.

Education

Required: High School diploma or equivalent.

Preferred: Bachelor’s degree.

Work Experience

Required: 3 years of related healthcare/clinical experience with exhibited leadership or supervisory experience.

Knowledge, Skills and Abilities

• Proficiency in using computers, software, and web‑based applications.
• Effective verbal and written communication skills and ability to present information clearly and professionally to varying levels of individuals throughout the patient care process.
• Ability to demonstrate excellent judgment in performing duties and conflict resolution skills.
• Strong delegation skills.
• Ability to work a flexible schedule (24/7, weekend, holiday, on call).

Job Duties

• Work closely with clinical colleagues, physicians, and coordinators to continually assess and improve operational procedures of the unit.
• Supervise, train, and develop department staff.
• Use performance management information to monitor and measure the performance of the operational unit and individual team members.
• Ensure appropriate internal controls, backups, and policy guidelines are communicated to department leaders to minimize risks associated with new processes.
• Develop unit‑specific systems to emphasize patient courtesy and responsive service delivery.
• Supervise and resolve patient complaints and requests for service promptly and courteously.
• Adapt communication style to the specific patient population, including privacy, introductions, explanations of services or procedures, and requests for permissions.
• Perform other related duties as required.

Physical and Environmental Demands

Frequently exert 10 to 20 pounds of force to move objects; occasionally up to 100 pounds. No exposure to blood, body fluid or tissue, and no need to perform emergency care or first aid. There is no occupational risk for exposure to communicable diseases. Risk of exposure to hazardous medications or waste may exist depending on duties.
