Job summary

Day & Zimmermann Company in Charlotte, NC seeks a Subcontract Administrator to lead the full lifecycle of subcontracts across Nuclear, Fossil, Renewables, Government and Industrial sectors. You will collaborate with project teams to develop strategic subcontract plans, manage RFQs, bids, POs and change orders, ensuring compliance with prime contracts and client expectations.

You will negotiate favorable terms, drive cost reduction, maintain status reporting, and foster diverse supplier

Qualifications

  • Bachelor’s degree in Business, Supply Chain or related field required.
  • 5+ years of subcontract administration or EPC/government contracting experience required.

Responsibilities

  • Develop subcontract strategy and plans aligned with program schedules and cost estimates.
  • Support labor cost estimation including DBA determinations and attend supplier/project meetings.
  • Manage all stages of the subcontract process from RFQs to PO and closure.
  • Maintain up-to-date project status reports reflecting RFQs, subcontractor data, timelines and deliverables.
  • Negotiate terms with subcontractors and manage change orders.

As a Subcontract Administrator at Day & Zimmermann, you will play a pivotal role in driving the success of our capital projects across diverse sectors including Nuclear, Fossil, Renewables, Government, and Industrial markets. Your expertise in managing the full lifecycle of subcontracts, from initiation through completion, will directly influence the efficiency and profitability of our operations. By cultivating strong partnerships with subcontractors and internal stakeholders, you will ensure that all subcontracting activities align with our strategic objectives and prime contract requirements.

Your proactive engagement in negotiations, risk assessment, and project communication will make you an essential contributor to project milestones and successful outcomes.

As the Subcontract Administrator, here is the work you’ll do:
  • Collaborate closely with the Supply Chain Director and project teams to develop comprehensive Subcontract Strategy and Plans that support detailed program schedules and accurate cost estimates.
  • Support labor cost estimation including Davis-Bacon Act (DBA) determinations, proposal development, and attend supplier and project meetings to maintain alignment with project requirements and client expectations.
  • Manage and administer every stage of the subcontract process: crafting the Recommended Bidder’s List (RBL), issuing Requests for Quotes (RFQs), evaluating received bids with Competitive Bid Evaluations (CBE), negotiating terms effectively with suppliers, issuing Purchase Orders (POs), managing change orders, and overseeing subcontract closure with precision.
  • Maintain up-to-date Project Status Reports that reflect current RFQ statuses, subcontractor data, committed delivery timelines, and receipt of subcontract deliverables, ensuring transparency and informed decision-making.
  • Exercise expert negotiation skills to secure favorable pricing and terms from subcontractors, address bid clarifications promptly, identify risks proactively, and build strong, trusting relationships with subcontractors and internal stakeholders alike.
  • Drive inclusivity by engaging and fostering relationships with a diverse range of subcontractors, supporting our commitment to diversity and supplier inclusion.
  • Communicate consistently and promptly with Supply Chain Management and Project Managers regarding any issues that may affect project schedules or deliverables, contributing to risk mitigation and project continuity.
  • Actively participate in key project meetings such as Kick Off and Project Status meetings to stay informed on project dynamics and contribute valuable insights from a subcontract administration perspective.

  • Strong analytical and decision-making competencies, enabling insightful evaluation of bids, risks, and subcontract terms to support optimal project outcomes.
  • Proficiency with Microsoft Office Suite and SAP systems, demonstrating the capability to leverage technology for efficient subcontract administration and data management.
  • Experience navigating the complexities of Engineering, Procurement, and Construction (EPC) projects and Government contracting, providing familiarity with regulatory requirements and contract nuances unique to these sectors.

  • Bachelor’s Degree in Arts/Sciences (BA/BS) in Business, Supply Chain or related field Required

In compliance with this state’s pay transparency laws, the salary range for this role is $76,640 - $114,960. This is not a guarantee of compensation or salary, as the final offer amount may vary based on factors including but not limited to experience and geographic location. (The specific programs and options available to an employee may vary depending on date of hire, schedule type, and the applicability of collective bargaining agreements).
