Sub Site Coordinator

PartTime CLUBS YMCA Whittier, CA, US

Substitute Site Facilitators are responsible for all aspects of site management; completing site paperwork, providing a safe/enriching environment for students, planning/facilitating site day by day programming, supervising/supporting site staff/volunteers, responsible for student discipline, communicating with school day staff, students, parents and partner staff, attending weekly site facilitator meetings, monthly all staff meetings, working 3-4 Saturdays a year (field trips/staff training).

  • Based on the format of the school day, programs may be virtual/distance learning
  • This position is contingent upon the proper implementation of the program guidelines and continued grant funding
  • Supervise and ensure the safety of members at all times maintaining a safe physical and emotional environment
  • Supervises supports and assists in training and development of site staff and volunteers
  • Provide leadership to a team of program staff to design and implement programs
  • Responsible for overall member and staff discipline and corrective behavior
  • Work effectively with the school principal, teachers, and the local community
  • Able to problem solve, communicate effectively, set priorities and goals, resolve conflict and manage time effectively and meet deadlines
  • Evaluate performance of site staff and assist Program Supervisor/Area Director with evaluation of overall program
  • Responsible for coordinating with Area Director or Program Supervisor regarding overall program schedules for school year (e.g., daily, weekly, monthly)
  • Facilitate weekly staff meetings and assist with staff training in order to maintain program's vision and the organization's mission
  • Interact with guardians/parents and handle all questions or concerns that may arise
  • Ensure that all required grant requirements are met, specifically:
  • Daily attendance target numbers are reached - (upwards of 100 students per day)
  • Responsible for maintaining early release folder for school site
  • Minimum attendance requirements are met
  • Weekly and monthly attendance & enrollment reports are kept and submitted in timely manner
  • Educational enrichment of grant is incorporated into program
  • Homework assistance of grant is incorporated into program
  • Physical recreation element of grant is incorporated into program
  • Formulating and executing Continuous Quality Improvement goals
  • Attend required state, school district, organization, and site meetings.
  • Assist staff with member supervision when required
  • Lead staff during lesson planning sessions
  • Maintain membership copies of application folder -and submitting new applications to Main Clubhouse
  • Complete incident reports as necessary -and file/submit copies to Area Director/Program Supervisor in a timely manner

Required Qualifications

Education:

  • High school diploma or equivalent
  • __48__ College credits or pass equivalency exam

Experience:

  • 3+ years of relevant experience working with children and/or youth in an educational, recreational, or youth development setting

Knowledge, Skills, and Abilities:

  • Ability to perform the essential functions of the position with or without reasonable accommodation
  • Strong verbal and written communication skills, with the ability to effectively interact with youth, families, and staff
  • Strong organizational skills, including the ability to manage multiple activities, maintain required documentation, and follow program schedules
  • Proficiency in using basic office technology and program-related tools or systems (e.g., email, attendance tracking systems, learning platforms)
  • Ability to understand and comply with organizational policies, safety procedures, and applicable federal, state, and local laws, including child safety and mandated reporting requirements

RequiredQualifications

  • California Driver's License
  • Relevant certifications or training CPR/First Aid, Mandated Reporter training

Preferred Qualifications

  • B.A./B.S. degree in related field
  • Experience working with children and/or youth in an educational, recreational, or youth development setting
  • Experience working in a structured, youth-serving environment that requires adherence to policies, safety standards, and program guidelines
  • Ability to effectively engage with youth, families, and staff in a fast-paced, interactive setting

Physical Demands

  • Ability to sit, stand, and/or walk for extended periods
  • Ability to lift up to 30 pounds
  • Ability to use a computer, phone, and standard office equipment
  • Work is performed in a club-style environment, including open floor plans, recreational areas, and outdoor activity spaces.
  • The role may involve a dynamic setting with multiple priorities, deadlines, interruptions, and regular collaboration with others.
