Job description

The Technology Application Specialist for Student Information System (SIS) Data Analyst II supports the integrity, accuracy, compliance, and effective use of student information and related district data systems across the district. The role provides districtwide SIS support and supports Indiana Department of Education reporting through validation, corrections, enrollment and records support, and user training.

Key Responsibilities
  • Maintain and support the accuracy and integrity of student data within the district’s Student Information System (SIS).
  • Identify, research, and correct student data errors impacting district operations and state reporting, including enrollment, attendance, discipline, scheduling, and other required functions.
  • Perform data corrections in the SIS to meet Indiana Department of Education reporting requirements.
  • Act as a primary resource for SIS data-entry procedures and established district data standards.
  • Support data validation, reconciliation, quality assurance, and troubleshooting across student information systems and related applications.
  • Collaborate with district and school personnel to identify and resolve data inconsistencies.
  • Support Indiana Department of Education reporting through the IDOE LINK Initiative and Data Exchange.
  • Review Data Exchange validations daily and resolve conflicts, errors, exclusions, and other reporting exceptions.
  • Correct identified data errors in the SIS and ensure corrected information is successfully transmitted to the IDOE Data Exchange.
  • Create and maintain Statewide Testing Numbers (STNs) for newly enrolled students in accordance with IDOE requirements.
  • Process demographic correction requests with the IDOE when necessary.
  • Submit and maintain required language addendums and other state-level student data corrections.
  • Support data corrections required to ensure appropriate access to IIEP and other state systems.
  • Support secondary school staff with required reporting to the Indiana Missing Children Clearinghouse and other applicable agencies.
  • Assist the Manager of Data Systems with required state and federal reports, programs, surveys, audits, and data submissions.
  • Provide primary SIS support to school data secretaries and other authorized personnel for student enrollment and records management, including in-building enrollment and New Student Online Enrollment (NSOE) processes.
  • Support Centralized Enrollment operations and collaborate with enrollment staff to resolve student data and system-related issues.
  • Provide guidance on student withdrawal procedures and accurate maintenance of enrollment records.
  • Serve as a district liaison, as assigned, among schools, transfer districts, the Indiana Department of Education, families, and other appropriate agencies regarding student enrollment, records, and data reporting.
  • Help resolve duplicate student records, demographic discrepancies, enrollment conflicts, and other student data issues.
  • Support districtwide SIS processes for attendance entry, correction, validation, and reporting, as well as discipline data entry, correction, validation, and reporting.
  • Assist with elementary and secondary scheduling processes as needed.
  • Maintain working knowledge of Indiana cohort requirements and support district and school staff responsible for maintaining accurate cohort data.
  • Assist with identifying and correcting data issues that could affect graduation, accountability, enrollment, attendance, or state reporting.
  • Serve as a primary technical and functional resource for data secretaries and other authorized SIS users.
  • Develop documentation, procedures, reference materials, and training resources related to assigned areas of responsibility.
  • Develop and deliver virtual and in‑person training for district and school personnel.
  • Participate in data meetings and provide updates regarding SIS procedures, reporting requirements, data quality, and system changes.
  • Support staff in understanding district data‑entry standards, workflows, and reporting expectations.
  • Assist with the development and implementation of consistent districtwide data practices.
  • Assist curriculum and instructional staff with the administration and support of district digital resources.
  • Support data‑related integrations between the SIS and approved district applications as assigned.
  • Assist with troubleshooting application access, rostering, data synchronization, and other integration‑related issues.
  • Collaborate with Technology Services, Curriculum and Instruction, and vendors to resolve application and data‑related issues.
  • Maintain confidentiality of student, family, and employee information in accordance with FERPA, district policies, and applicable state and federal requirements.
  • Follow district cybersecurity, data governance, and access‑control procedures when handling student information.
  • Promote accurate, consistent, and timely data‑entry practices across district schools and departments.
  • Assist with data audits and corrective actions designed to improve the accuracy and reliability of district information systems.
  • Provide professional, timely, service‑oriented support to school and district personnel.
  • Collaborate with Technology Services, Centralized Enrollment, Curriculum and Instruction, Special Education, school administrators, data secretaries, and other departments as necessary.
  • Communicate system changes, reporting requirements, deadlines, and identified data issues to appropriate stakeholders.
  • Escalate significant data integrity, compliance, security, or system issues to the appropriate supervisor.
  • Maintain current knowledge of IDOE reporting requirements, SIS functionality, district procedures, and applicable state and federal regulations.
  • Participate in testing, implementation, upgrades, and continuous improvement of district student information and related application systems.
  • Provide additional application, data, enrollment, and technology support as assigned.
  • Perform other duties and assume other responsibilities as assigned by the Manager of Data Systems, Chief Technology Officer, or designee.
