Job summary

The University of Tulsa is seeking an undergraduate financial aid counselor to administer institutional scholarships, outside scholarships, and federal/state aid while guiding students to identify funding sources to reduce their Bursar balance.

Qualifications

  • Excellent verbal and written communication skills, ability to communicate effectively at all levels.

Responsibilities

  • Counsel returning undergraduate students building a financial aid package for all enrolled terms including institutional and outside scholarships, and federal/state aid if applicable.
  • Following scholarship policies and administering all federal and state regulations for appropriate federal and state funding.
  • Administer a federal aid program overseeing all federal regulations associated with that program.
  • Administer state aid programs overseeing all state regulations associated with the program(s).
  • Assist with updating office forms, website, policy and procedure manual, offer letters, and communication to students surrounding aid eligibility.
  • Stay current on regulations and changes affecting Federal, State and Institutional Financial Aid.
  • Maintain communication with students and their families through in person meetings, telephone conversations, email and TEAMS chats with positive customer service.
  • Review and process financial aid documents in a timely manner.
  • Prioritize and multitask projects keeping electronic files and processes organized.
  • Participate in student recruitment, on-campus events, presenting financial aid presentations as needed.
  • Maintain confidential records, maintaining privacy mandates required for financial aid data.
  • Attendance will be required at trainings for campus training, outside scholarship training, state grant/scholarship workshops, and federal aid training.

Job Summary

This position is an undergraduate financial aid counselor that assumes the responsibility of administering institutional scholarships, outside scholarships, and federal/state aid working with students to find funding sources to reduce their Bursar balance. This position administers the responsibilities of one or two federal programs, as well as state programs.

Essential Functions (Responsibilities)
  • Counsel returning undergraduate students building a financial aid package for all enrolled terms including institutional and outside scholarships, and federal/state aid if applicable. Following scholarship policies and administering all federal and state regulations for appropriate federal and state funding.

  • Administer a federal aid program overseeing all federal regulations associated with that program.
  • Administer state aid programs overseeing all state regulations associated with the program(s).
  • Will be responsible for assisting with the update of office forms, website, policy and procedure manual, offer letters, and communication to students surrounding students aid eligibility.

  • Stay current on regulations and changes affecting Federal, State and Institutional Financial Aid.

  • Maintain communication with students and their families through in person meetings, telephone conversations, email and TEAMS chats with positive customer service.

  • Review and Process financial aid documents in a timely manner.

  • Prioritize and multitask projects keeping electronic files and processes organized.

  • Participate in student recruitment, on-campus events, presenting financial aid presentations as needed. Occasionally this could require weeknights or weekend attendance.

  • Maintain confidential records, maintaining privacy mandates required for financial aid data.

  • Attendance will be required at trainings for campus training, outside scholarship training, state grant/scholarship workshops, and federal aid training. Must be able to adapt to changing regulatory environment at both the state and federal levels.

Required Qualifications
Knowledge/Skill/Ability
  • Thorough knowledge of federal and state regulations concerning financial aid

  • Proficient with Microsoft Excel and familiar with Access, Word, PowerPoint, and Outlook.

  • Knowledge concerning higher education financial aid industry.

  • Excellent verbal and written communication skills, ability to communicate effectively at all levels.

  • A collaborative team player, who can coordinate work effectively with employees, team members, and outside vendors.

  • Ability to maintain a high level of confidentiality.
  • High attention to detail, demonstrated practice of establishing effective priorities and meeting deadlines.
  • Strong customer service with a can-do attitude and strong interpersonal skills.
Equivalent Education/Experience
  • Minimum of an Associates Degree. Bachelor’s degree preferred
