Ivy Tech Community College in Indianapolis is recruiting for a Federal Work Study Student Accounts Assistant. The role provides administrative support, handles confidential student financial data, and helps with document management and reporting under supervision.

PURPOSE OF POSITION: The Student Accounts Federal Work Study Assistant provides administrative and operational support to the Student Accounts team. This position assists with document management, account review processes, reporting, outreach efforts, and student account maintenance while gaining experience with student financial services operations. The student employee will handle sensitive student information and must comply with all institutional privacy, confidentiality, and data security requirements. Duties are based on tasks identified for VA processing, BankMobile support, account review, and campus outreach activities.
Scan and organize incoming mail and documentation for processing by the Student Accounts.
Create PDF invoice packets and prepare supporting documentation for departmental processes.
Review student account data for completeness and accuracy and escalat discrepancies to supervisory staff.
Assist with adding MC holds under established procedures and supervision.
Assist with processing refund time outs verifying original payment source and logging information with all final approvals completed by supervisory staff.
Assist with communications and outreach to campus personnel regarding reports and follow-up actions.
Maintain accurate records and perform other administrative duties as assigned.
Adhere to FERPA, institutional privacy standards, and all confidentiality requirements when handling student records and financial information.
Demonstrate professionalism, reliability, and attention to detail.
Be comfortable working with confidential student and financial information.
Possess basic computer skills, including Microsoft Office applications.
Have strong organizational and communication skills.
Be able to work independently while appropriately escalating questions or concerns.
Demonstrate the ability to follow written procedures and maintain data accuracy.
Develop an understanding of student accounts, financial aid, and business office operations.
Gain experience handling confidential information in compliance with FERPA and institutional policies.
Strengthen data review, reconciliation, and record-management skills.
Improve professional communication and customer service abilities.
Develop proficiency with higher education administrative systems and reporting tools.
Demonstrate attention to detail and accuracy in financial and administrative processes.
Completed FAFSA on file demonstrating financial need; and
Maintain an aid-eligible Sasfactory Academic Progress (SAP) status; and
Maintain a minimum of 1 credit hour of enrollment in eligible courses;.
