Role Purpose
To drive occupancy strategy development and implementation across Client’s Regional portfolio, including managing the supply, capacity, demand, and vacancy in support of short-term and long-term headcount projections. Within the geography, identify current space availability, workplace strategy impacts, and projected space needs based on headcount forecast and business requirements by group.
What This Job Involves
- Apply and validate finance-approved top-down headcount projections by business unit for a rolling three-year planning horizon, partnering with the Portfolio Strategy team.
- Analyze the client’s portfolio to identify opportunities to optimize space for all organizations within the existing and committed portfolio.
- Track and report projected versus actual headcount by organization.
- Develop city and site-specific occupancy strategies with GREF Leadership and Portfolio Strategy.
- Report current and forecasted supply and capacity for a rolling three-year timeframe.
- Collect preliminary program requirements for each organization/team (by building, if necessary).
- Develop migration plans and sequencing of organizational moves.
- Incorporate occupancy strategy into long-term strategy documents, clearly articulating impacts to city, site, and organizational allocations.
- Create stacking diagrams of current and future states based on three-year headcount forecasts.
- Obtain organizational alignment on migration and stacking plans.
- Coordinate scope and phasing schedule for project implementation based on stacking plans and migration strategy.
- Ensure planning aligns with corporate guidelines and supports forecasted growth and organizational requirements.
- Recommend and apply space policies, standards, procedures, and protocols.
- Educate and ensure compliance with planning and space policies/standards, procedures, and protocols.
- Maintain org-level 2 & 3 space allocation plans.
- Review site audit data and collaborate with local occupancy planners or facility managers for validation.
- Support the Agile Workplace program through badge data analysis and utilization studies.
- Facilitate communication among occupancy planners, business space planners, org space program managers, and other GREF team members.
- Lead a small team of occupancy planners and manage multiple projects simultaneously.
- Develop occupancy plan of record reflecting forecasted supply and demand.
- Support long-range strategy development, incorporating occupancy strategies into overall planning narratives.
- Develop migration and stack plans by city and site level.
- Maintain current and forecasted headcount data.

Education / Experience
- Bachelor's degree in architecture, design, consulting/advisory work, or related field with at least five years’ experience in a corporate environment.
- 5+ years experience in space/occupancy planning at a strategic level.
