Job description

Early-stage, mission-driven venture firm is looking for a strategic Executive Assistant to support their solo Founder / General Partner. This is an incredible opportunity to be a true right-hand to the Founder and play an instrumental role in building and scaling the firm with growth opportunities as the firm evolves. You will work closely with the General Partner to ensure priorities are aligned by managing stakeholder relationships, tracking fundraising pipelines, coordinating schedules, inbox management and external communications on behalf of the GP, planning events, arranging travel, and establishing systems and processes. Someone with next-level organization skills who anticipates needs and takes ownership in a self-directed environment. Previous experience in VC is preferred. This is a primarily remote role with a preference for someone based in NYC or in close proximity for meetups and events. 150-170K+ DOE

Responsibilities:

  • Proactive scheduling for the General Partner by anticipating conflicts, optimizing time blocks, and ensuring smooth daily operations.
  • Inbox and communications management. Maintain comprehensive tracking of scheduling to-dos and meeting follow-ups, while also taking ownership and action on emails where able to.
  • Relationship management through CRM and outreach coordination by tracking relationships and proactively reminding about important touchpoints and follow-ups.
  • Manage fundraising pipeline and follow-ups, including sending thank you notes and file links. Assist with priority setting and communications, understanding stakeholder relationships, communication priorities, and what requires urgent attention.
  • Support LP communications and founder relationship management.
  • Draft communications such as cold outreach, newsletters, emails, and LinkedIn posts.
  • Plan and execute quarterly and annual events (ranging from 10-20 people to 50-100 people) at various venues, including the Partner's residence and restaurants.Handle all event logistics from venue selection to vendor coordination and post-event follow-up.
  • Support investor events, portfolio company gatherings, and industry networking events.
  • Arrange travel itineraries for the General Partner and ensure schedules accommodate travel requirements. Pre-travel accountability management to ensure all critical tasks are completed before departure.
  • Handle personal appointments, reservations, and personal travel that intersect with business needs.
  • Systemize and establish processes to ensure seamless daily operations. Establish and manage payroll systems for employees and contractors. Research and implement appropriate platforms (Ramp, Gusto, or similar).
  • Assist with additional projects and tasks, as needed.

Qualifications:

  • 4+ years of experience as an Executive Assistant, ideally from a startup, fast-paced environment. Previous experience working in VC is a plus.
  • Innate understanding of the VC ecosystem, LPs, Startups, co-investors, and the relationships with each.
  • Excellent communication style, both verbal and written.
  • Ability to adapt and be flexible to changes within a growing firm.
  • Strategic thinking ability, can understand context, relationships, and business priorities.
  • Exceptional organizational skills with proven ability to manage complex, competing priorities
  • Detail-oriented and organized. Strong ability to not let things slip through the cracks.
  • Proactive and self-motivated. You work well independently and take ownership.
  • Interest in or passion for supporting entrepreneurs and the venture capital ecosystem
  • Collaborative, team player willing to help where needed.
  • Tech-savvy.Experience with CRM systems and relationship management tools, familiarity with AI tools.
