Job summary

XNRGY Climate Systems, Inc. is expanding its US operations and seeks a Proposal Coordinator to drive bid coordination, RFP responses, and quote preparation.

You will own CRM records, link documents to opportunities, and ensure data accuracy across the opportunity lifecycle from bid to order. In this role you will coordinate orders and change management, support ERP order entry, and facilitate cross-functional communication with Sales, Engineering, and Finance.

Qualifications

• Bachelor's or higher in Business or Engineering or related field.
• 2+ years in proposal or bid coordination or inside sales support.
• Experience with industrial equipment or HVAC is a plus.
• CRM and ERP systems experience; proficient in Excel and office tools.
• Strong organization and data accuracy; able to meet deadlines.

Responsibilities

• Coordinate RFP activity and timely bid coordination to meet customer due dates.
• Assist with equipment selections and pricing; prepare defined quotes.
• Organize and maintain project documents to track opportunity history.
• Enter and manage accounts, contacts, projects, and quotes in CRM.
• Log changes, maintain ERP orders, and support shipping logistics.
• Communicate across teams and with customers to align project scope.
