Responsibilities

  • Maintain accurate records of HOTSOS and monitor system; dispatch team members accordingly.
  • Print in-house reports for specific shift times.
  • Prepare supervisor daily paperwork packet and distribute needed paperwork.
  • Maintain lost and found log sheet and door box in the office.
  • Keep permanent records of phone logs, maintenance logs, shampoo lists, etc.
  • Distribute rooms (AAA/Sales, rush, VIP, pre-key, early checkouts) and service requests.
  • Run daily reports: AM housekeeping, due-outs, vacant dirty lists, etc.
  • Answer a multi-line phone system and dispatch calls.
  • Maintain daily inventory of communication devices.
  • Manage equipment/storage keys sign-out/in and report repairs.

Job description

The Status Board Operator will play an important role for coordinating the daily activities of the Housekeeping Department and answering the phones promptly and professionally, running daily required reports, input of carpet shampoo rooms, general clean rooms, ECO Lab services, broken/repair equipment logs, equipment key sheets and daily inventory of all communication equipment. The Status Board Operator will be responsible for assisting all departmental requests for Housekeeping daily operational information.

Requirements

THE NITTY-GRITTY (The Essential Job Duties) Including but not limited to:

  • Maintain accurate records of HOTSOS, ability to monitor system and direct Team Members accordingly, using other resources, coordinate Team Members accordingly, communicate and monitor guest service calls (Engineering, Security, all hotel functions that go through HSKP are monitored, dispatched and completed in accordance with departmental operating standards (time sensitive, everything has a time), accuracy, efficiency, print LMS daily station assignment sheets, vacant clean inspected/vacant clean/vacant dirty/pick-up/out of order/ discrepancies/ off the market reports
  • Print in-house reports for specific times of shifts
  • Prepare supervisor daily paperwork packet/boards (with all paperwork as directed by management). Distributing paperwork needed by supervisors
  • Maintain responsibility for lost and found log sheet and drop box in office
  • Maintain permanent records of the following: phone logs. maintenance log, shampoo lists etc.
  • Responsible for distributing AAA/Sales rooms, rush rooms, pick-up rooms, pre-key rooms, VIP rooms, early checkouts, stay-overs, and service requests
  • Responsible for running daily reports: AM housekeeping reports, due-outs, vacant dirty lists etc.
  • Responsible for answering a multi-line phone system and dispatching calls
  • Responsible for daily inventory of all communication devices
  • Responsible for equipment/storage keys sign out/in, daily inventory of keys and equipment and reporting repairs and/or maintenance of keys or equipment

WOULD BE NICE TO HAVE'S
  • 1-2 years of status board/coordinator experience in housekeeping department within a hotel industry
  • Basic knowledge of housekeeping and hotel department functions
  • 1 year minimum of one year housekeeping or clerical experience
  • Computer and 10 key experience helpful
THE WORKING CONDITIONS
  • Must be able to withstand prolonged standing, stretching, bending, and kneeling without restriction
  • Must be able to frequently move freely about the office; and maintain manual dexterity to access computer via computer keyboard and operate office equipment, such as telephones, copiers, fax machine, etc.
  • Work indoors and be exposed to various environmental factors such as, but not limited to LCD/CRT fatigue, sound, dust, and cigarette smoke, and pet hair/dander
  • Ability to lift or carry 25 pounds, unassisted, in the performance of specific tasks assigned
  • Work in a fast-paced, results-oriented, and ever-changing environment
  • Maintain physical stamina and proper mental attitude while dealing effectively with management, Team Members, and outside contacts
