STAGE 1 - LEAD PROGRAM ASSISTANT II

Location: Los Angeles, CA 90056 - 100% Onsite

What We're Looking For:

We are looking for a Program Assistant II for our Family Services Department who will provide support to the department and/or a case management team. In this position, you will act as a direct liaison to internal leads within the department, serving as the contact person for unavailable case management staff. You will also create and maintain new parent and/or provider files, including filing required documentation, reviewing and ensuring proper documentation has been provided, preparing forms, notices, and correspondence, entering client information into the database, and making follow-up phone calls to providers regarding terminated parents.

RESPONSIBILITIES:
  • Monitor workflow distribution and task completion in conjunction with Supervisor and Lead Specialist.
  • Act as a direct liaison to internal leads within the department, serving as the contact person for unavailable case management staff.
  • Create and maintain new parent or provider files, including filing required documentation.
  • Review and ensure proper documentation is provided.
  • Prepare forms, notices, and correspondence regarding missing documentation.
  • Enter client information on the internal database.
  • Make follow-up phone calls to providers regarding terminated parents.
  • Set up appointments for new enrollments/re-certifications and/or follow up on rescheduled appointments and no-shows.
  • Send letters to parents regarding documentation needed for re-certification.
  • Check for qualifying eligibility of families and childcare needs within our service area.
  • Sort, process, and distribute incoming mail.
  • Perform other duties as assigned.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:
  • High School graduate or equivalent, some college preferred.
  • At least one year of experience working with parents receiving subsidized childcare or social support services preferred.
  • Experience with MS Excel and Word preferred.
  • Requires excellent verbal and written communication skills.
  • Strong customer service skills.
  • Strong organizational and administrative skills.
  • Ability to work flexible hours and overtime as needed to complete required tasks in a timely manner.
  • Ability to handle sensitive and confidential issues/matters.
  • Ability to work variable days and hours and site locations as needed for special projects.
  • Excellent work ethic, including attendance and punctuality.
