Reporting to the Manager, Staff Scheduling, the Staff Scheduling Clerk provides staff scheduling support at all Providence Care locations. The role involves working collaboratively with Program Managers, Staffing Leads, Staff, and the Manager of Staff Scheduling & Recruitment. The Clerk will ensure adherence to established staff scheduling practices and escalate concerns as needed.
Skills and Qualifications:
- Post-secondary diploma in Business Administration, Medical, or Office Administration
- Minimum of 1 year of recent clerical experience
- Minimum six months’ experience in staffing and/or scheduling in a dynamic environment of persons or events
- Equivalent education and experience may be considered
- Experience in staff scheduling within a unionized healthcare environment is preferred
Position Responsibilities:
- Monitor vacancies to ensure staffing levels meet baselines; liaise with managers regarding concerns
- Provide automated shift calling support and share process information with staff
- Complete work following Collective Agreements, established processes, and practices
- Identify concerns or issues to Program Managers/Designate or Staff Scheduling Leads
- Prepare schedules by allocating staff coverage for known vacancies (e.g., vacation, education leave, sick leave, retirements) according to procedures and Collective Agreements
- Ensure schedules are prepared in accordance with Collective Agreements and established practices
- Provide schedules to Staff Scheduling Leads for review within deadlines
