Responsibilities

  • Provide administrative support to Coop Unit leaders and staff, including scheduling, travel paperwork, and monthly reporting.
  • Coordinate building and office activities, including events, access, and inventory management.
  • Train and supervise student employees and assist with department events and communications.
  • Prepare and submit budget-related reports and correspondence to federal headquarters as needed.
  • Represent the unit positively with students, staff, faculty, and community.

Overview

The Staff Assistant II provides administrative support to the Utah Cooperative Fish & Wildlife Cooperative Research Unit, serves as Office Coordinator for the Wildland Resources Department, and functions as Building Coordinator for the Natural Resources building.

Responsibilities

50% Utah Cooperative Fish & Wildlife Research Unit Staff Assistant

Monthly reporting to federal headquarters, clerical assistance for travel, scheduling and correspondence, tracking of expenses, data entry, and deadline compliance.

  • The staff assistant performs a variety of administrative support duties in support of the Coop Unit leaders and staff. Typical functions include but are not limited to:
  • Performs office coordination duties, including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventories
  • Seeks ways to improve efficiency of services and develops processes to streamline procedures
  • Maintains and creates Digital Measures content
  • Submits and tracks unit business transactions
  • Writes, edits, and coordinates the development of promotional materials, educational materials, training manuals, newsletters, and/or brochures
  • Coordinates Unit activities, conferences and events
  • Trains and guides student employees
  • Provides training, instruction, and/or consultation to students, faculty, and/or staff in the use of specialized services
  • Submits monthly budget reports to federal headquarters
  • Schedules and coordinate meetings, events, interviews, appointments and other similar activities
  • Represents the Coop in a positive manner with students, staff, faculty, and the community
  • Performs other job-related duties as assigned

50% Wildland Resources Department Office Assistant & Natural Resources Building Coordinator

The staff assistant performs a variety of administrative support duties to maintain a high-functioning Wildland Resources Department office, and provides oversight and stewardship of the Natural Resources Building. Typical functions include but are not limited to:

  • Coordinates/schedules NR atrium and patio use
  • Responds to building issues as they arise;
  • Issues building related announcements to faculty and staff
  • Liaison to Fire Marshall; Safety Officer
  • Organizes building, office, and lab access by preparing key requests for faculty, staff, and students
  • Coordinates and tracks users of WILD and COOP fleet vehicles; compiles and documents trip reports; issues keys to vehicles as appropriate
  • Maintains WILD tagged equipment inventory records and submits annual reports
  • Maintains NR 206 office copier, office & clerical supplies
  • Organizes and distributes WILD faculty and staff mail, packages
  • Assists with WILD department events & functions
  • Represents the WILD department in a positive manner with students, staff, faculty, and the community
  • Performs other job-related duties as assigned
Qualifications

Minimum Qualifications:

  • Two years of experience in an office setting or an associate degree/vocational training is required.

Preferred Qualifications:

  • Bachelor’s degree; education or prior experience in a natural resources discipline

Knowledge, Skills, and Abilities:

  • Skilled with computers and related software.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
