What You Will Do:

We are seeking a highly professional, detail-oriented Administrative Assistant to provide comprehensive administrative support that ensures efficient workflows and operational excellence across the organization. This role is critical in supporting executive leadership, Board governance, and organizational effectiveness through exceptional coordination, communication, and discretion. The ideal candidate is organized, proactive, comfortable working with senior leaders, and eager to leverage emerging technologies—including AI-enabled tools—to streamline processes while upholding strong governance, confidentiality, and data integrity.

Key duties and expectations include, but are not limited to, the following

  • Provides back up to the Executive Assistant in attendance at the monthly Board and Senior Staff meetings which include taking and transcribing minutes and distributing in a timely manner.
  • Provides administrative support as needed to ensure efficient operation of office.
  • Completes after action monthly board meeting follow-up (e.g., iPad updates, director expense reports, webpage board minutes summary, and meeting power point slides).
  • Assists with special projects for the CEO as assigned.
  • Prepares and files the State of Arizona Lobbyist Annual and Quarterly Reports for the CEO, COO, and CFO.
  • Assists with scheduling meetings for the CEO and Senior Staff as requested.
  • Assists with the coordination of all-employee meeting logistics, activities, meals, and/or refreshments as necessary.
  • Assists with the compilation and preparation of monthly department reports in absence of the Executive Assistant.
  • Assists with the arrangements and preparations for monthly board meeting lunches and refreshments.
  • Assists with scheduling and preparation of travel arrangements for CEO and Board Members in accordance with company policies as requested.
  • Ensures that the condition of the boardroom kitchen and all conference rooms are in good order for holding meetings.
  • Assists Management Team with special projects that may include research, development, and implementation.
  • Coordinates and maintains the usage and mileage logbook of Trico’s Pool Vehicle Program.
  • Assists other departments as needed or required.
  • Performs other related duties as assigned to support departmental and organizational goals.
What You Bring To Trico:
  • Associate’s degree in Business Administration or a related field, plus at least three (3) years of administrative assistant experience; or
  • Eight (8) or more years of experience as an administrative assistant in lieu of education.
  • Demonstrated experience handling confidential and sensitive information with discretion.
  • Strong knowledge of administrative and office management practices, including professional business correspondence.
  • Familiarity with AI-enabled productivity tools (e.g., ChatGPT, Copilot, Claude Enterprise) for document drafting, meeting summaries, workflow automation, and data organization.
  • Ability to collaborate with AI agents as part of daily workflow—reviewing, refining, and validating outputs for accuracy and alignment with Cooperative standards.
  • Serves as a human checkpoint for AI-generated content, ensuring accuracy, appropriateness, and consistency with Trico’s values before distribution.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail supporting operational efficiency, regulatory compliance, and service excellence.
