Purpose of the Position:The Staff Assistant position in the College of Arts, Humanities, and Social Sciences will provide day-to-day administrative support to departments and students within the college. This individual will work closely with staff assistant provide seamless organizational support in a team environment.

Key Duties and Responsibilities:
  • Assist the Resource Manager with budget reconciliation and payroll reconciliation.
  • Maintains filing system for Resource Manager Assists with travel documents related to the CAHS by filing and tracking travel authorization and vouchers.
  • Prepares and monitors purchasing for the departments via requisitions, PCards, miscellaneous vouchers, and budget transfer.
  • Manages the financial records from pcards, miscellaneous vouchers, requisitions/purchase orders.
  • Represents college as the first point of contact for the dean's office. Provides coordinated administrative and professional support to the Resource Manager and CAHS Dean's office.
  • Independently composes correspondence and communicates with administration, students, faculty, patrons, and vendors appropriately - Exchanges information regarding department services and provides operating policies and procedures.
  • Provide coordinated and administrative support to the department of MU, TH, and Film. Duties would include, but not limited to the following: Prepare forms for processing including follow up: requisitions, MRRs, Misc, Travel, and Foundation vouchers, Banner signature authorizations, & key requests. Handle functions related to computer surplus and asset management.
  • Assist with part time offer letters, monitoring enrollment, and preparing ePAFs. Collect instructor syllabi and book adoptions.
  • Assists other staff assistants, as needed, with class schedules, book orders, and room reservations. Will be fill in for departments when staff assistants are out.
  • Attend and participate in staff assistant meetings and training.
  • Perform other duties and responsibilities as assigned.
Minimum Requirements:
  • High school education or equivalent
  • 1-3 years of full-time verifiable secretarial or administrative work experience
  • Must possess excellent written and verbal communication skills
  • Must have extensive knowledge of Microsoft Office Suite to include Word, Excel, PowerPoint, Adobe Pro, and Google Drives
  • Must be willing to work collaboratively with other team members
Desired Qualifications:
  • Bachelor's degree is preferred
  • Knowledge of Banner is desired

Published Salary (if available): $35,000 - $37,000
