Job Summary

The Staff Accountant is responsible for managing the full accounts payable cycle and performing core accounting functions, including account reconciliations, bank reconciliations, and journal entries within NetSuite. This role will support month‑end close, maintain compliance with nonprofit accounting standards, and help optimize processes using Ramp and other financial systems. The ideal candidate is detail‑oriented, collaborative, and committed to accuracy, transparency, and continuous improvement. This position will be a hybrid‑based model in the San Francisco Bay Area, CA (Walnut Creek).

Key Responsibilities
  • Oversee the end‑to‑end accounts payable process including invoice intake, coding, approval workflows, and payment processing
  • Ensure expenses are properly classified in accordance with nonprofit accounting requirements, grant restrictions, and internal policies
  • Maintain vendor records, including W‑9s, ACH information, and 1099 compliance
  • Partner with program and operations teams to resolve invoice discrepancies and ensure timely payments
  • Prepare and post journal entries such as accruals, prepaid expenses, allocations, and reclassifications
  • Perform monthly balance sheet reconciliations and ensure timely resolution of reconciling items
  • Complete bank reconciliations
  • Assist with month‑end and year‑end close to meet internal and external reporting deadlines
  • Support preparation of financial statements, grant reporting, and management reports
  • Maintain compliance with GAAP and nonprofit accounting standards
  • Support audit requests by preparing schedules and providing documentation
  • Ensure adherence to internal controls over disbursements and expense management
  • Assist with maintaining policies related to AP, expense reimbursement, and cash management
  • Identify opportunities to improve efficiency and accuracy within NetSuite and Ramp
  • Assist with system enhancements, reporting development, and documentation of procedures
Required Skills and Abilities

Education and Experience
  • Bachelor’s degree in Accounting
  • Bachelor’s degree and 5+ years of experience, or an equivalent combination of education and directly related experience
  • 5+ years of accounting experience with AP and general ledger responsibilities
  • Hands‑on experience with NetSuite and expense platforms such as Ramp a plus
  • Strong understanding of GAAP; nonprofit accounting experience preferred
  • Advanced Microsoft Excel skills
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple priorities in a deadline‑driven environment
  • Strong communication and customer‑service mindset
Preferred
  • Experience in a nonprofit organization with grant or fund accounting
  • Experience with system implementations or process automation
Compensation and Benefits
  • The salary range for the Analyst position is between $117,715 – $132,549 annually.
  • Analyst will be eligible for an annual bonus based on job and organizational performance.
  • The benefits offered for Analyst include health insurance, 401k, vacation leave and sick leave.
