The Staff Accountant manages day-to-day financial operations, maintains the general ledger, and ensures strict regulatory compliance in a highly complex legal environment. This role navigates unique cannabis challenges, including cash management, multi-entity corporate structures, and state-specific track-and-trace systems. The position requires a self-starter who can balance traditional GAAP compliance with rapidly evolving industry regulations.
Core Responsibilities
- General Ledger Maintenance: Prepare journal entries, manage accounts payable (AP) and accounts receivable (AR), and maintain accurate financial records.
- Month-End Close: Reconcile bank accounts, credit cards, and point-of-sale data to generate timely P&L and balance sheet statements.
- 280E Compliance: Categorize and track expenses meticulously to separate allowable Cost of Goods Sold (COGS) from non-deductible operating expenses.
- Inventory & Cost Accounting: Reconcile physical inventory counts against seed-to-sale software data to monitor shrinkage and valuation.
- Multi-Entity Accounting: Manage separate books for multi-state or multi-license operations, including dispensaries, cultivation sites, and manufacturing centers.
- Cash Management: Implement rigorous internal controls for handling and recording large volumes of physical cash transactions.
- Audit Preparation: Gather documentation and build audit trails for internal workflows, state tax authorities, and regulatory bodies.
Requirements & Qualifications
- Education: Bachelor’s degree in Accounting, Finance, or a closely related field.
- Experience: Minimum of 1–3 years of professional accounting experience, ideally in retail, manufacturing, or an inventory-heavy sector.
- Legal Age: Must be at least 21 years of age and capable of passing state-mandated background checks for cannabis industry workers.
- Software Skills: Proficiency in QuickBooks or mainstream ERPs, alongside advanced Microsoft Excel capabilities.
- Industry Knowledge: Familiarity with specialized cannabis platforms like Metrc, BioTrack, or LeafLogix is highly preferred.
- Regulatory Compliance: Fundamental understanding of IRS Section 280E and state tax rules impacting cannabis businesses.
- Analytical Thinking: Ability to spot discrepancies between physical inventory metrics and financial ledger reporting.
- Adaptability: Navigating fluid banking conditions, changing state laws, and shifting tech stacks.
- Attention to Detail: Executing exact record-keeping to safeguard state licensing and defend against strict tax audits.
