Position Summary

Natera is seeking a detail-oriented and highly organized Sr. Speaker Programs Manager to support day to day operations within the Speakers Program Office.

Reporting to the Associate Director, Speaker Programs, the Sr. Speaker Programs Manager will serve as a primary operational resource for field representatives, speaker faculty, and cross-functional partners. This role will support speaker program operations:including nomination, contracting, compliance, honorarium and expense processing, and payment.

The ideal candidate brings prior experience in speaker bureau execution, HCP engagement, or commercial operations supporting diagnostics, biotechnology, pharmaceutical, or medical device organizations, and thrives in a high-volume, detail-driven environment.

Key Responsibilities
Operations & Compliance
  • Manage speaker programs operations for assigned business unit(s), ensuring consistency, compliance, and operational rigor at every stage.
  • Maintain accurate program records, documentation, and audit-ready files in accordance with company SOPs and regulatory requirements.
  • Proactively identify gaps or risks in program workflows and elevate issues to the Associate Director in a timely manner.
  • Serve as the go-to operational resource for all speaker program activity, providing real-time status visibility to internal stakeholders.
  • Act as the primary liaison between Area Marketing Managers (AMMs) and the Compliance team, managing escalation communications on program-related issues.
  • Track open compliance issues and escalations through to resolution, maintaining complete documentation of all communications and outcomes.
  • Support audit readiness by ensuring all speaker program files are complete, accurate, and organized per compliance and Legal requirements.
Stakeholder Management
  • Act as the primary point of contact for field representatives (AMMs and sales teams) and physician speakers on questions related to program requirements, timelines, status, and compliance obligations.
  • Respond to inquiries promptly and accurately, applying a thorough understanding of program policies, SOPs, and applicable healthcare regulations.
  • Contribute to onboarding and training materials to help new field personnel and speakers understand program requirements and workflows.
  • Manage honorarium and expense reimbursement lifecycle: collect, review, and submit required documentation for payment processing.
  • Submit approved payment requests to Accounts Payable in accordance with established deadlines and contracted payment timelines.
  • Track payment status for each speaker engagement and proactively elevate any delays or discrepancies to Finance and the Associate Director.
Speaker Nomination & Contracting Process
  • Oversee speaker nomination and contracting process, coordinating across commercial and medical stakeholders to move nominees through vetting, onboarding, and credentialing steps efficiently.
  • Manage contracting workflows in partnership with Legal and Compliance, ensuring fair market value (FMV) compliance, proper documentation, and timely execution of all speaker agreements.
  • Serve as the operational coordinator for speaker onboarding and annual recertification processes, ensuring all requirements are met on time.
Reporting & Operational Support
  • Maintain and update program tracking tools, dashboards, and databases to support accurate and timely reporting on speaker utilization, payment status, and program activity.
  • Contribute to regular program status reports and business reviews prepared by the Associate Director for senior leadership.
  • Support continuous improvement initiatives by identifying administrative inefficiencies and recommending process enhancements.
  • Assist in the coordination of speaker training events, program logistics, and other operational activities as needed.
Qualifications
Required
  • Bachelor's degree required.
  • 5-7 years of experience in speaker bureau execution, HCP engagement, or commercial operations.
  • Demonstrated understanding of healthcare compliance requirements, including HCP contracting, fair market value (FMV), and industry codes of conduct (PhRMA, AdvaMed).
  • Experience managing high-volume administrative workflows with strong attention to detail and the ability to juggle multiple priorities simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with physician speakers, field sales representatives, and cross-functional partners.
  • Strong organizational and project management skills with a track record of meeting deadlines in a fast-paced environment.
Preferred
  • Experience working directly with Compliance and Legal teams on HCP contracting and payment-related processes.
  • Familiarity with honorarium and expense reimbursement workflows and Accounts Payable coordination.
  • Hands-on experience with Salesforce.com (SFDC) or similar CRM platforms for program tracking and reporting.
  • Experience supporting multiple therapeutic areas, product lines, or business units simultaneously.
  • Knowledge of speaker bureau management platforms and event management tools.
