Job Summary
The Senior Property Manager is primarily responsible for the day-to-day management of all aspects of operation for the assigned portfolio and supervision of portfolio staff, in accordance with the goals and objectives of the individual property owners and the mission of Kidder Mathews Asset Services Division.
Essential Functions
Supervision:
- Manage and lead a team which may include Property Manager(s), Administrative Assistant(s), Operation Manager(s), Portfolio Administrator(s), and Portfolio Assistant(s), including recruitment, onboarding, supervision, scheduling, training, development, evaluation, and disciplinary action of employees.
- Provide mentoring, coaching, direction, and leadership to employees to achieve company and client results.
- Promote and maintain a positive working environment aligned with Kidder Mathews values and culture.
Property Operations:
- Respond to and resolve tenant concerns; meet with tenants as required to ensure high-quality property management service.
- Ensure monthly physical property inspections are completed; partner with contractors/building engineers for repairs or maintenance.
- Interface with property vendors and contractors to ensure prompt response to maintenance issues.
- Ensure contracted vendor services are performed on schedule and within budget, meeting contract specifications.
- Review contract specifications and make necessary updates.
- Request, review, and recommend bids for contracted services.
- Ensure scheduled maintenance and repairs are performed on time.
- Partner with Building Engineers or contracted vendors to schedule repairs and work orders.
- Proactively identify opportunities to add value to clients and their assets.
Financial and Reporting:
- Partner with Property Accountants to ensure accurate and timely accounting deliverables.
- Review and approve vendor and contractor invoices within authority limits.
- Review and approve annual CAM reconciliations and monthly accruals.
- Provide financial analysis for leases and renewals.
- Lead the annual budgeting process with support staff.
- Hold accountability for annual property budgets.
- Review monthly operating statements.
- Generate and review operational reports for clients and mentor Property Managers on financial processes.
Leasing:
- Negotiate lease renewals and meet with tenants.
- Prepare financial analyses for new leases and renewals.
- Promote collaborative relationships with listing agents.
- Ensure vacant spaces are market-ready.
- Proactively pursue leasing and referral opportunities.
Tenant and Owner Relations:
- Maintain professional rapport with tenants and owners.
- Supervise move-in and move-out processes and conduct walk-throughs.
- Create tenant welcome packages and emergency procedures manuals.
- Attend construction meetings and coordinate with construction teams.
- Review punch lists and ensure completion of work.
Corporate:
- Foster professional relationships within Kidder Mathews divisions.
- Manage Property Management Agreements, including tracking key dates and fees.
- Prepare annual operating budgets and review receivables.
- Manage profit and loss for assigned portfolios.
- Identify new business, referral, or consulting opportunities proactively.
Other Functions
- Perform additional duties or projects as required.

Education and Experience
- Bachelor’s Degree or equivalent experience.
- 7+ years of commercial property management experience.
- 2+ years supervisory experience.
Physical Demands
- Routine talking, hearing, sitting, and computer use.
- Occasional standing, walking, bending, and lifting up to 10 pounds.
- Driving and outdoor navigation required.
Supervisory Responsibilities
- Supervisory responsibilities for up to 6 direct/indirect reports.
- Indirect supervision of Building Engineers.
