Job summary

DocuSign is seeking a Sr. People Operations Coordinator to support a seamless employee experience across HR functions. You will streamline processes, ensure consistency in people programs, and assist employees with HR policy questions.

This role requires proximity to the office for in-person collaboration as needed. Reporting to the Sr. Manager, People Operations, you will help manage onboarding, file management, and regulatory documentation while collaborating with Recruiting, Payroll,

Qualifications

  • Fluent in English and French, both written and spoken.
  • Bachelor's degree or equivalent HR-related experience.
  • 2+ years in HR or recruiting in a high-growth environment.
  • Experience with Brazil and Mexico employment requirements, policy, and procedures.
  • Experience with Workday or other HCM systems.

Responsibilities

  • Provide quality operational support to People Team stakeholders, cross-departmental colleagues, and external vendors to deliver HR services.
  • Support all phases of the employee lifecycle: onboarding, digital file management, data changes, transfers, promotions, and offboarding.
  • Assist with pre-hire processes including contracts, background checks, new hire paperwork, and work authorization in English, Portuguese and Spanish.
  • Identify opportunities to streamline Global HR processes and improve the employee experience.
  • Create and maintain physical and electronic employee files.
  • Respond to general HR inquiries regarding policies, benefits, data, verifications, and systems.
  • Collaborate with Recruiting, Payroll, Benefits, HRBPs, IT, and others as needed.
  • Administer HR documentation and reporting for Brazil and Mexico.

What you\'ll do

Docusign\'s People Operations team is looking for a Sr. People Operations Coordinator to help create a seamless and positive experience for our employees and candidates. In this role, you will collaborate across HR functions to streamline processes, ensure consistency in our people programs and support employees by addressing questions on HR policies. Your work will directly impact our employees\' experience, helping to build a workplace where everyone feels valued. Please note, this individual must be within commutable distance to the office to come in as needed.

This position is an individual contributor role reporting to the Sr. Manager, People Operations.

Responsibility

  • Provide quality operational support to People Team COE stakeholders, cross-departmental colleagues, and external vendors in order to deliver a valuable HR management service

  • Support all phases of the employee lifecycle, focusing on business system processes related to onboarding, digital employee file management, data changes, internal transfers, promotions, and offboarding

  • Assist with employee pre-hire processes, including but not limited to contracts of employment, background checks, new hire paperwork and work authorization documentation in English, Portuguese and Spanish

  • Identify opportunities to streamline Global HR processes, enhancing efficiency and improving the employee experience

  • Create and maintain physical onsite and electronic employee files

  • Respond to general HR inquiries regarding but not limited to HR policies, benefits, employee data, employment verifications and systems

  • Collaborate with Recruiting, Payroll, Benefits, HRBPs, IT and other collaborators as needed

  • Administer all statutory regulatory HR documentation and reporting requirements for Brazil and Mexico, including but not limited to, timely coordination with the local Social Insurance office for enrollment and dis-enrollment of employees

Job Designation

Remote: Employee is not required to be in or near an office frequently and works from a designated remote work location for the majority of the time.

What you bring

Basic

  • Fluent in English and French, both verbal and written communication

  • Bachelor\'s degree or experience in the HR related field

  • 2+ years of HR or Recruiting related work experience in a high growth organization

  • Experience with Brazil and Mexico employment requirements, policy, and procedures

  • Experience with Workday or other HCM Systems

Preferred

  • Experience with ServiceNow HR Ticketing system

  • Strong Experience in G-Suite (including Google Slides, Google Sheets, Excel, Word etc)

  • Ability to work independently with minimal direction, and handle issues with a high sense of urgency and employee service focus

  • Excellent attention to details and interpersonal skills

  • Ability to think outside of the box and work in a fast paced, high volume environment

  • Ability to exercise sound judgment and discretion, maintaining confidentiality when required
