Job summary

Quorum Federal Credit Union is seeking a Senior Operations Associate to manage daily deposits, RTP, ACH and wires, and to drive process improvements using AI and automation.

The role emphasizes learning new systems quickly, strong analytics, and collaboration across product/engineering and vendors in a remote work environment. Relevant banking operations experience is required.

Qualifications

  • At least four years of transactional processing experience in a bank or credit union, with at least two years in a similar Operations role; project experience preferred, supervisory experience a plus.
  • Experience with deposit and payment systems, including ACH, wires, and RTP, and related digital banking platforms.
  • Ability to learn new systems quickly and translate business requirements into system or configuration requirements for vendors/IT.
  • Experience with AI-assisted decision tools and automation in operations or a clear ability to identify automation candidates and support business cases for AI-assisted implementations.

Responsibilities

  • The Senior Operations Associate is the subject matter expert of and manages daily processing for deposits, RTP, ACH, and wires, including manual and batch postings, research, and GL reconciliation support.
  • Coordinate and schedule daily work for EFT, ACH, and wire processing; serve as point of contact when the Operations Manager is unavailable.
  • Support plans for electronic funds processes and member servicing; work on system updates and process changes in Agile-style ticketing tools.
  • Lead or support process reviews and testing; translate findings into production changes and define automation requirements with stakeholders.
  • Work with vendors, management, regulators on policies, compliance, security, and contingency planning; write/update procedures; use AI tools for exception handling and risk assessment.

How You’ll Make an Impact

The Senior Operations Associate supports day-to-day deposit, Real Time Payments, and EFT activity, including ACH and wires. The role also supports process improvement, operations projects, and the design and maintenance of policies and procedures. This person plays a key role in how we use systems, automation, and AI-assisted tools across Operations.

The ideal candidate must be competent and able to learn quickly, be highly detail oriented, and be comfortable working with many different systems. The successful candidate will have worked in a financial institution setting, primarily in back-office transaction processing. This person will also possess strong analytical skills to not only document, but to evaluate and recommend changes to processes, workflows, and procedures to drive productivity and efficiency.

Additionally, is comfortable with monitoring, exception trends analysis, and partnership with product/engineering or vendors on automation and AI use cases.

The area of responsibility for this role is wide and thus requires thorough knowledge of various company processes.

What You’ll Be Doing
  • The Senior Operations Associate is the subject matter expert of and manages daily processing for deposits, RTP, ACH, and wires. That includes manual and batch postings, research, exception handling within set parameters, and support for general ledger reconciliation, with strict attention to deadlines and controls.
  • They help coordinate and schedule daily work for EFT, ACH, and wire processing and act as a point of contact for the department when the Operations Manager is unavailable.
  • They support plans for electronic funds processes and member servicing. They work on projects tied to system updates, service enhancements, and process changes, and keep their work current in project and ticketing tools that follow Agile-inspired practices.
  • They lead or support process reviews and testing and help translate findings into production changes. They identify high-volume, rules-based work that can be automated, including through RPA and AI-assisted workflows, and work with stakeholders to define requirements, test solutions, and measure impact.
  • They work with vendors, management, and regulators on internal services, funds transfer policies, compliance, security, and contingency planning. They write and maintain procedure documents for their areas, update them when programs or workflows change, and recommend policy updates. They use AI-assisted decision tools where appropriate for exception handling, risk assessment, and fraud detection.
  • They support other business units with member requests and workflows, cross-train on critical processes, and help maintain service levels. They also interact with vendors and third parties on behalf of members and the Credit Union, stay current on regulatory and technology changes, and perform other job-related duties as assigned
  • Promotes and maintains a positive work atmosphere by behaving and communicating in a manner consistent with professional standards to get along with members, co-workers, management and vendors.
  • Keeps abreast of industry developments including, but not limited to, changes in regulations, technology, etc.
  • Performs additional duties as required.
What You Bring to the Team

The Senior Operations Associate has intermediate to advanced Excel (lookups, pivot tables, data cleansing) and comfort working with data exports and dashboards; experience with basic data querying (e.g., SQL or BI tools) preferred. Experienced working with payment systems, or RPA/automation tools (e.g., workflow engines, bots, scripting, or rules engines). Demonstrates ability to learn new systems quickly and to translate business requirements into system or configuration requirements for vendors/IT.

  • This role works under moderate supervision, follows established procedures, and uses independent judgment in handling complex work. The person should be comfortable working across multiple banking systems and tools, and open to adopting new technology and AI-assisted capabilities as they are introduced.

  • Strong knowledge of rules and regulations governing transactional processing in financial institutions.
  • Strong analytical, problem-solving, organizational, communication, decision-making, and time management skills, with the ability to manage multiple priorities and meet critical deadlines with a high level of accuracy.
  • High integrity, trustworthiness, and accountability.
  • Proficiency with Microsoft Outlook, Teams, Word, and Excel, and comfort working in a remote, tech-enabled environment.
  • Work is remote and requires a suitable internet connection, a current smartphone, extended computer use, and frequent communication via email, chat, video, and phone. Standard policy, BSA/AML, at-will, and "other duties as assigned" language from your existing template continues to apply.

Compensation & Rewards

Compensation for this role is $68,800 - $78,800 per year with the potential for discretionary incentive compensation based on both company and individual performance.
