Position: Sr. Operations Administrator Position Summary: The Senior Operations Administrator provides high-level administrative and operational support to the President and senior leadership team of the Medicare Advantage health plan while also contributing to the execution of key initiatives across the organization. This role combines executive-level administrative responsibilities with project management, cross-functional coordination, and healthcare industry knowledge. The Senior Operations Administrator must be able to manage multiple complex priorities, exercise sound judgment, and maintain strict confidentiality while ensuring executive time and focus are optimized. This position reports to the President of the Medicare Advantage health plan. Job Description:

Primary Responsibilities

  • Manage complex executive calendars, scheduling, and meeting logistics, including coordination with internal and external stakeholders.
  • Organize and prepare for leadership and governance meetings by developing agendas, drafting materials, capturing meeting notes, and tracking follow-up actions.
  • Coordinate preparation of materials for Board sessions, quarterly business reviews, and enterprise governance meetings.
  • Draft and prepare correspondence, presentations, reports, and other executive-level communications.
  • Support the execution of key projects and initiatives by maintaining project plans, timelines, deliverables, and progress reporting.
  • Partner with senior leadership to monitor priorities and ensure accountability for deadlines and follow-up actions.
  • Conduct research and prepare briefing materials to support executive decision-making.
  • Coordinate travel arrangements, prepare itineraries, and ensure timely submission of expenses and reconciliations.
  • Develop and maintain tools, templates, and processes to improve the efficiency of the leadership team’s operations.
  • Manage departmental logistics including record-keeping, vendor coordination, and budget tracking.
  • Serve as a primary point of contact for the President and senior leadership team, ensuring professional communication and appropriate flow of information.
  • Perform other duties and special projects as assigned.

Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Administration, or related field (or equivalent education and experience).
  • 5+ years of progressive administrative and operational support experience, with at least 3 years supporting senior executives in healthcare, insurance, or Medicare Advantage preferred.
  • Demonstrated experience managing executive calendars, scheduling, and high-volume meeting coordination.
  • Strong project management or project coordination experience, with the ability to track deliverables and ensure completion.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word); experience with Workday, Smartsheet, and collaboration platforms (Teams, Zoom) preferred.
  • Excellent written and verbal communication skills, including preparation of polished, executive-ready materials.
  • Strong organizational skills with proven ability to manage multiple priorities and meet deadlines.
  • High level of discretion, judgment, and professionalism in handling sensitive and confidential matters.
  • Ability to work independently, anticipate needs, and proactively address issues to ensure smooth operations.

Factors that may be used to determine your actual pay rate include your specific skills, experience, qualifications, location, and comparison to other employees already in this role. In addition to the base salary, certain roles may qualify for a performance-based incentive and/or equity, with eligibility depending on the position. These rewards are based on a combination of company performance and individual achievements.

The hiring range for this position is:

$72,800.00-$97,400.00
