POSITION SUMMARY:

In this role, the Sr. Manager / Associate Director of Channel Operations will lead his or her team to ensure proper channel sales and inventory management of our products while generating reports, dashboards, and analyses to support management decisions and ensure patients get the products they need. They will be the primary point of downstream customer contact with our designated 3PL partner in the United States and Puerto Rico. They will maintain and improve the systems that house Trade data and the tools and processes that leverage the data such as sales and inventory trending, order management, invoicing and scorecarding. This role will involve heavy inter-departmental collaboration with departments such as Field Account Management, Business Analytics, Supply Chain, Finance, IT, Compliance and Legal. This position will include external customer-facing interactions and travel as necessary.

ESSENTIAL FUNCTIONS:

The responsibilities of this role include, but are not limited to, the following :

Team Leadership & Collaboration

  • · Lead and develop a high-performing Channel Operations team
  • · Provide coaching, performance feedback, and professional development opportunities while fostering a culture of accountability, collaboration, and continuous improvement across trade, specialty, and distribution partners
  • · Provide individualized training and mentorship, covering tools like SAP, Veeva Vault, Ironclad, and Medispan/Compendia, as well as core Channel Operations internal processes such as invoice reconciliation, score carding, and contract routing
  • · Foster cross-functional collaboration by encouraging team members to engage with internal stakeholders and external partners to build operational knowledge and improve communication across departments
  • · Reinforce a culture of continuous improvement within the Channel Ops function

Channel Operations

  • Manage daily 3PL activities across multiple cost centers to ensure no disruptions to channel sales. Responsible for assuring we meet our customer service goals of on time delivery, order fulfillment and informing customers of order/shipment status.
  • Monitor wholesaler, specialty distributor and specialty pharmacy inventory levels and ensure they meet contractual requirements and are appropriate for forecasted sales levels
  • Analyze, report, and take appropriate actions regarding credits and deductions on wholesaler, specialty distributor and specialty pharmacy invoices.
  • Assist in revenue management activities. Coordinate directly with channel buyers and account management teams.
  • Act as Program Manager for all vendor software packages related to EDI 852/867 data sets and specialty data aggregation.
  • Vendor relationship management including Data Aggregation, Compendia services and Reverse Distribution.
  • Collaborate with Global Supply Chain team on special projects. Review contracted delivery company performance. Participate in monthly Key Performance Indicator meetings.
  • Develop and maintain department’s Standard Operating Procedures (SOP) in support of compliance areas of risk.
  • Develop and maintain department’s Work Instructions (WI).
  • Work closely to monitor and track team risk areas in support of Channel Compliance Champion.
  • Reconcile wholesaler and distributor accounts with focus on sales, discounts, credits and chargebacks.
  • Scorecard, audit, and coordinate appropriate corrective actions with all contracted partners such as wholesalers, specialty distributors, and specialty pharmacies.
  • Assist in reviewing and assessing returns, deductions, and exceptions from channel partners.
  • Coordinate and resolve customer service issues with Field Sales and Medical Information Unit. Triage to account management owners as appropriate and/or resolve directly with customers.
  • Manage contracting system and risk assessment reviews for team. Contracting system Commercial Super User role.
  • Travel to meet with channel partners as appropriate. Attend industry symposiums, conferences, and trade shows as directed. Travel 20-30%.
  • Performs other duties as assigned.
  • Operate internal team dashboard communications.

Channel Analysis

  • Assist in the development of the Channel Business Plan as it pertains to Channel Operations.
  • Produce weekly Product Availability Report for external customers.
  • Assist in producing customer business reviews to support the account management team.
  • Serve as a business partner to account management teams to provide customer or account reports and other information to facilitate contract negotiations.
  • Provide decision and business planning support; draws conclusions based on analyses and presents recommendations to senior and executive management.

Channel Finance

  • Perform all finance-related tasks to support the department’s contractual requirements including new account setup, purchase order creation, invoice payment, and contract auditing.
  • Assist the Government Pricing and Finance teams in discount monitoring and gross-to-net calculations.
  • Maintain monthly department budget tracking and provide regular reporting to Director. Provide proactive recommendations regarding spending to maintain budget within approval.
  • Assist in managing team budget. Includes annual planning and quarterly forecasting, as well as monthly accrual reporting.
  • Act as an audit point for all corporate distribution procedures and practices.

MINIMUM QUALIFICATIONS:

  • BS/BA degree from a four-year accredited university or college; Business, Finance, Supply Chain, Economics, Statistics, Computer Science degree preferred.
  • Minimum 3 years of demonstrated experience and proven success in biotech/pharmaceutical industry in Trade Relations, Managed Care, Finance, Analytics, or similar department is preferred. Other relevant or related experience will be considered.
  • Demonstrated analytical, problem solving, and troubleshooting skills.
  • High level of personal accountability and sense of urgency. May need to be available “off hours” for occasional emergency issues.
  • Customer focused. Ability to develop relationships, deliver presentations, and diplomatically resolve issues.
  • Ability to work independently with a focus on organization and follow through on projects.
  • Excellent organizational skills with a high attention to detail.
  • Excellent verbal and written communications skills. Ability to communicate effectively and diplomatically with all levels of management.
  • Ability to prioritize workload and participate in multi-functional project teams
  • Understanding of project management activities and project planning/reporting.
  • Experience with business process analysis.
  • High level of proficiency in business technology applications and concepts.
  • Ability to learn and manage multiple software packages with multiple data types.
  • Proficient Microsoft Office Suite skills and sales tools and software. Expert ability in Excel to include pivot tables development and use.
  • Ability to travel (may include occasional overnight domestic travel).
