POSITION SUMMARY:
The Sr. Human Resources Generalist – Compliance, Benefits & HRIS proactively coordinates high-detail HR compliance workflows across the association. This position manages workers’ compensation administration, benefits eligibility, leaves and accommodations; maintains reliable HRIS data and reporting; monitors required training; and supports employee relations and HR operations. The successful candidate is a resourceful self-starter who anticipates needs, closes loops, protects confidential information, and turns workforce and injury data into practical action.

ESSENTIAL FUNCTIONS:
- Workers’ Compensation & Injury Management: Receive incident reports; report claims promptly; coordinate approved medical or occupational health referrals; and communicate with injured employees, supervisors, and claim partners.
- Track claims from initial report through return to work or closure, including treatment milestones, restrictions, lost or modified duty, required documents, follow-up dates, and outstanding actions.
- Coordinate return-to-work and transitional-duty activities; document restrictions; and help supervisors apply approved limitations while protecting confidential medical information.
- Conduct or support accident investigations, identify root causes, recommend corrective action, and verify completion.
- Maintain required OSHA/Cal/OSHA injury and illness records, including 300, 301, and 300A documentation, posting, and retention. Escalate recordability or reporting questions.
- Analyze injury and claim trends by location, job, activity, cause, severity, and recurrence; develop targeted safety training and communications; and support safety committee and recognition activities.
- Benefits, Eligibility & Retirement: Monitor hours, employment status, and eligibility milestones, including part-time to full-time changes and applicable 30-hour-per-week or 130-hour-per-month measurements. Provide timely alerts and exception reports.
- Coordinate new-hire, newly eligible, qualifying life event, open enrollment, and termination processes; support employees with enrollment; and maintain accurate elections and effective dates.
- Manage HRIS carrier feeds, investigate errors, and reconcile enrollment records, monthly carrier bills, and payroll deductions through correction.
- Record and upload retirement contributions each payroll cycle; resolve rejected or mismatched records; and prepare aggregate benefit participation or utilization reports while protecting individual health information.
- Leaves & Workplace Accommodations: Coordinate leave requests from intake through return to work, including case logs, required notices, designation letters, certification deadlines, benefit payment status, extensions, and return-to-work documents.
- Maintain leave and accommodation deadlines, issue reminders, follow up on incomplete documentation, and elevate complex, overlapping, or high-risk matters to the HR Manager.
- Support the interactive accommodation process under the HR Manager’s direction; track approved accommodations and follow-up reviews; and maintain medical records separately in secure files.
- HRIS, Reporting & Data Compliance: Serve as the primary functional point of contact for HRIS reporting and data processes; guide branch staff, troubleshoot routine issues, and create process steps, job aids, and training guides.
- Complete approved large-scale data imports; validate source data, test changes, reconcile results, document exceptions, and correct errors.
- Deliver accurate routine and ad hoc reports, including 30-hour eligibility, three-month inactivity, status, headcount, compensation, classification, leave, workers’ compensation, benefits, training, and employee-relations data.
- Audit HRIS records, monitor compliance requirements, recommend process or data updates, and prepare the Multiple Worksite Report and other government-requested reports.
- Support paperless HR records through accurate scanning, e-file creation, file naming, retention practices, and maintenance of the HR shared drive.
- Training & Certification Compliance: Monitor mandated training and certifications, including orientation, child abuse prevention, CPR/First Aid, aquatics safety, and other role-specific requirements. Issue reminders, report status, elevate overdue items, and develop training based on injury or audit trends.
- Employee Relations & HR Operations: Assist with investigations by organizing records, preparing timelines and interview materials, participating as requested, and documenting follow-up. Process employment verifications in accordance with policy.
- Answer routine policy and procedure questions; process certificates of insurance; support meeting and committee logistics; and serve as trained payroll backup.
- Attend required meetings, trainings, and YMCA functions; maintain open communication with employees, participants, supervisors, and HR partners; and perform other duties as assigned.

QUALIFICATIONS:
- Three to five years of relevant HR experience involving compliance, benefits, leave administration, workers’ compensation, HRIS, payroll, or related work; multi-site experience preferred.
- Working knowledge of California employment practices and recordkeeping related to workplace safety, wage and hour, benefits eligibility, leaves, accommodations, and confidentiality; knows when to escalation.
- Demonstrated ability to manage multiple cases, deadlines, reconciliations and recurring compliance cycles with accuracy and follow-through.
- Strong HRIS and spreadsheet skills, including reporting, data audits and imports, troubleshooting, formulas, lookups, pivot tables, validation, and reconciliation. Dayforce or comparable HRIS experience preferred.
- Ability to analyze trends, identify root causes, make clear recommendations, and develop effective job aids or training for varied audiences.
- Excellent written, verbal, and interpersonal communication skills with sound judgment and discretion when handling sensitive information.
- Bachelor’s degree in human resources, business, occupational safety, or a related field preferred; equivalent experience considered. PHR, SHRM-CP, or related certification is a plus.
- Ability to travel between association locations and meet organizational screening, training, and certification requirements.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
Environmental Factors: Work is performed primarily in a professional office environment using computers and standard office equipment. The role may visit branch, program, aquatics, fitness, childcare, and other operational areas, including post-incident locations.
Physical Demands: The employee regularly sits, stands, walks, communicates, uses hands and fingers, and views computer screens. The employee occasionally lifts or moves office materials up to 25 pounds without assistance and up to 50 pounds with assistance and travels locally.
