As we continue to grow, we seek an on-site, highly organized, and experienced Senior Executive Assistant to support our Owner and help ensure the smooth operation of daily business activities.

The Senior Executive Assistant will provide on-site administrative support, manage schedules, coordinate communications, and handle sensitive information with the utmost discretion. This role requires a proactive, adaptable, and detail-oriented professional who thrives in a fast-paced, entrepreneurial environment with constantly shifting priorities.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Manage and maintain the Owner’s calendar, appointments, and travel arrangements
  • Coordinate meetings, including logistics, agendas, and follow-ups
  • Monitor and prioritize incoming emails and calls, responding or redirecting as appropriate
  • Assist with personal tasks and errands when needed, maintaining a balance of professionalism and flexibility
  • Proactively anticipate needs, identify potential challenges before they arise, and offer practical solutions.
  • Thrive in a fast-paced environment with constantly pivoting priorities, managing shifting demands with calm, focus, and flexibility
  • Maintain confidential and sensitive information with discretion
  • Act as a liaison between the Owner and internal/external stakeholders
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Support project management tasks and coordinate timelines and deliverables
  • Conduct research and compile data to support business decisions
  • Help maintain a positive office culture and support other team members when needed

PREFERRED QUALIFICATIONS

  • Minimum 5 years of experience as an Executive Assistant, with at least 2 years at a senior or executive level
  • Proven ability to work directly with executive leadership
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • High level of discretion and integrity when handling confidential information
  • Proficiency with Microsoft Office Suite, Google Workspace, and project management tools
  • Ability to multitask and adapt quickly to shifting priorities
  • A proactive, can-do attitude with the ability to anticipate needs
  • Experience with personal assistant responsibilities a plus

EDUCATION REQUIREMENTS

  • Education: Bachelor's degree in business a plus

CERTIFICATIONS/LICENSES

HARDWARE/SOFTWARE SKILLS

  • Intermediate proficiency with Outlook (email, calendar mastery), Word, Excel, PowerPoint, Teams, etc.

PHYSICAL DEMANDS& SENSORY REQUIREMENTS

  • Sit for extended periods
  • Bend, crouch, kneeling, and contorting into odd positions
