Overview

We’re hiring for a Senior Executive Assistant to provide high-level administrative and project management support to the Chief Strategy Officer and President of Pro2col- Blake Mallen (Personal Instagram). The Senior Executive Assistant role goes beyond traditional executive support; it’s ideal for someone who operates as a strategic liaison and problem-solver. The role is essential in helping the President operate efficiently and effectively, with a strong focus on coordination, organization and execution.

You’ll be trusted to handle complex calendars, prepare executive-level communications, and support cross-functional projects from planning to completion. The Senior Executive Assistant position is a high-impact role with high-visibility and interaction with senior leadership to drive priorities forward. This is an exciting opportunity for someone who thrives in a dynamic environment and brings both polish and precision to everything they do.

HOW YOU’LL CONTRIBUTE:

  • Provide high-level, high-touch administrative support to the President, including calendar management, meeting coordination, and proactive prioritization to ensure focus on high-impact initiatives
  • Represent the office of the President with professionalism and discretion when collaborating with internal and external stakeholders
  • Manage highly confidential information and internal communications, ensuring alignment and discretion across key stakeholders.
  • Prepare briefing materials and presentations for Board and executive meetings; synthesize complex information with clarity and impact
  • Navigate ambiguity with ease and bring order to chaos in dynamic, fast-paced environments
  • Lead high-priority projects from concept to completion, applying strong analytical skills to evaluate key data and drive execution across diverse initiatives
  • Coordinate international and domestic travel, including itineraries and logistics across multiple time zones
  • Contribute to a strong executive team culture and serve as a liaison between departments, vendors, and external partners
  • Assist department on various projects as needed
  • Perform additional duties as assigned
Qualifications

WHAT WILL SET YOU UP FOR SUCCESS:

  • 7+ years supporting SVP level and/or C-suite or senior executives, with exposure to both startups and global enterprise organizations highly desired
  • Strong project management skills with proven track record to handle competing priorities and complex timelines
  • Shown success handling confidential information with a high level of integrity and discretion
  • Strong business judgment, emotional intelligence, and the ability to operate with a high degree of autonomy
  • Tech-savvy, with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with collaboration tools (e.g., Teams, Zoom)
  • Comfortable flexing between strategy and execution — from high-level planning to making things happen on the ground
  • Especially organized, detail-oriented, and proactive, with strong time management skills and the ability to anticipate needs.
  • Thrives in fast-paced environments, easily adapting to change and shifting priorities while leading multiple tasks and deadlines effectively.
  • Able to commute to both Downtown LA and Torrance offices as needed
