How You'll Make History Here...

The Sr Executive Assistant plays a critical role in enabling executive and senior leaders to operate at their highest potential by providing strategic administrative partnership, not just transactional task support.

This role goes beyond traditional calendar and logistics management to deliver advanced planning, technology‑enabled productivity, proactive problem solving, and sound judgment in a fast‑paced, ambiguous environment.

The Sr Executive Assistant is expected to operate as a trusted thought partner to leaders, helping them prioritize effectively, leverage self-service tools (including Microsoft Copilot), and navigate complex operational needs, while also supporting work within a pooled enterprise support model, as assigned.

What You Will Do..
Strategic Leader Support
  • Serve as a proactive administrative partner to assigned executives and leadership teams by anticipating needs, identifying risks, and optimizing how time and resources are used.
  • Act as a consultant vs. task‑taker, offering recommendations and solutions rather than simply executing requests.
  • Maintain the highest standards of professionalism, confidentiality, and discretion, particularly when handling sensitive information or leader communications.
Advanced Calendar & Time Strategy
  • Manage complex, multi‑leader calendars across geographies and time zones, including:
    • Prioritization tradeoffs
    • Executive sequencing
    • Conflict resolution and escalation
  • Advise leaders on calendar best practices, including meeting cadence, focus time protection, and decision‑ready agendas.
  • Proactively surface scheduling risks that could impact business outcomes.
Workflow, Travel, Expense & PO Management
  • Coordinate and manage complex domestic and international travel arrangements.
  • Process, track, and troubleshoot Travel & Expense activities using enterprise systems (e.g., Concur or equivalent).
  • Manage purchase orders, invoices, and related approvals in SAP and ServiceNow‑supported workflows, ensuring accuracy, compliance, and on‑time processing.
  • Identify opportunities to simplify, standardize, or automate administrative processes.
Technology Enablement & Leader Self‑Service
  • Leverage Microsoft 365 tools — including Outlook, Teams, SharePoint, and Copilot — to improve productivity and reduce manual work.
  • Coach and enable leaders to effectively self‑serve appropriate administrative tasks using Copilot and other digital tools.
  • Continuously build digital fluency and stay current on new tools and capabilities that support the “Admin of the Future” model.
Special Projects & Continuous Improvement
  • Support special projects, executive initiatives, and ad‑hoc requests requiring coordination, judgment, or discretion.
  • Actively identify opportunities to improve ways of working, enhance leader experience, and reduce friction.
  • Participate in upskilling, development, and change initiatives tied to Project Atlas and future state operations.
Who You Will Work With...
  • This role reports to the Head of Sales - Snacks.
  • This role will also support the SVP DSD Transformation and Execution.
What You Bring To The Table... (Must Haves)
Business & Professional Judgment
  • Demonstrated ability to exercise sound judgment in high‑pressure, ambiguous situations.
  • Trusted with confidential and highly sensitive information.
  • Ability to prioritize competing demands and make recommendations aligned to business impact.
Technology & Digital Fluency
  • Advanced proficiency in:
    • Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
    • Microsoft Copilot (or demonstrated learning agility to adopt AI‑enabled tools)
    • SAP / Ariba, Concur (or similar), and ServiceNow
  • Comfort coaching others on the use of productivity and self‑service technology.
Execution & Adaptability
  • Strong organizational and follow‑through skills with attention to detail.
  • Ability to adapt quickly as priorities shift and new demands emerge.
  • Thrives in environments with changing expectations and evolving operating models.
  • Demonstrated success operating in complex, fast‑paced environments.

  • Clear, concise, and professional communication skills (written and verbal).
  • Ability to influence without authority and build trust with senior leaders and partners.
