Position Overview

Serenity Healthcare is seeking an experienced Sr Corporate Travel & Events Coordinator to oversee complex corporate travel, large-group travel, and company event logistics across the organization.

This role requires someone who thrives in a fast-paced, high-pressure environment where travel plans can change quickly and details matter. The Sr Corporate Travel & Events Coordinator will manage everything from routine domestic travel to complicated international itineraries involving multiple travelers, airlines, destinations, hotels, and ground transportation.

The ideal candidate is calm under pressure, highly resourceful, financially disciplined, and capable of quickly resolving travel disruptions while balancing traveler needs, company policies, schedules, and budgets.

Key Responsibilities
Corporate & Executive Travel
  • Coordinate complex domestic and international travel, including airfare, hotels, ground transportation, and detailed itineraries.
  • Manage travel across multiple airlines, destinations, time zones, and travel providers, identifying the best options based on cost, schedule, reliability, and traveler needs.
  • Build and manage complicated multi-city and international itineraries involving connecting flights, multiple travelers, and changing schedules.
  • Coordinate travel for executives, employees, candidates, and other business travelers as needed.
  • Advise travelers on passport, visa, entry, and documentation requirements for international travel.
  • Maintain accurate travel documentation, confirmations, itineraries, and traveler information.
Large Group Travel & Events
  • Lead logistics for large-group travel, corporate meetings, leadership events, trainings, conferences, and company events.
  • Coordinate group airfare, room blocks, ground transportation, meeting spaces, meals, schedules, and other event-related logistics.
  • Manage multiple travelers arriving from different locations while ensuring schedules and logistics align.
  • Partner with hotels, airlines, venues, transportation providers, and other vendors to coordinate group requirements and negotiate favorable rates and terms.
  • Develop detailed event and travel plans that anticipate potential issues before they impact travelers or events.
  • Serve as the central point of coordination before, during, and after major company travel and events.
Travel Disruption & Problem Resolution
  • Serve as the primary escalation point when travel problems occur, including canceled or delayed flights, missed connections, weather disruptions, hotel issues, itinerary changes, and other unexpected travel complications.
  • Quickly evaluate alternative flights, airlines, airports, routes, hotels, and transportation options when original plans are disrupted.
  • Remain composed and solutions-focused during high-stress situations involving multiple travelers and competing priorities.
  • Communicate clearly with travelers and leadership during disruptions and provide timely solutions and updated itineraries.
  • Anticipate potential travel risks and develop backup options for critical or complex trips.
Budget & Vendor Management
  • Manage travel and event spending with strong attention to budgets, cost controls, and company travel policies.
  • Evaluate travel options based on total cost, schedule, traveler experience, and operational impact rather than price alone.
  • Track expenses, reconcile invoices, identify discrepancies, and maintain accurate travel and event records.
  • Negotiate with airlines, hotels, venues, rental car companies, transportation providers, and other vendors.
  • Analyze travel spending and booking patterns to identify opportunities for improved efficiency and cost savings.
  • Help develop and maintain preferred vendor relationships and travel standards.
Employee & Administrative Support
  • Provide high-level travel and logistical support to employees and leaders across the organization.
  • Support employee onboarding, offboarding, meetings, and company events where travel or logistical coordination is required.
  • Act as a trusted resource for employees navigating company travel policies and complex travel situations.
  • Partner closely with leadership, HR, Finance, and other departments to ensure travel and event needs are executed effectively.
Qualifications & Skills
  • 5+ years of corporate travel, executive travel, group travel, event coordination, or similar experience preferred.
  • Demonstrated experience coordinating complex domestic and international travel.
  • Experience managing large groups, multi-city itineraries, multiple airlines, hotels, transportation providers, and overlapping travel schedules.
  • Experience managing travel and event budgets and controlling costs.
  • Strong understanding of airline reservations, fare options, cancellations, rebooking, hotel accommodations, and ground transportation.
  • Experience responding to real-time travel disruptions and making sound decisions under pressure.
  • Strong vendor management and negotiation skills.
  • Exceptional organizational skills with the ability to manage numerous travelers, itineraries, deadlines, and competing priorities simultaneously.
  • Excellent attention to detail. Small errors in this role can have significant financial and operational consequences.
  • Strong written and verbal communication skills with a high level of professionalism.
  • Calm, decisive, and resourceful in stressful situations.
  • Strong problem-solving skills and the ability to develop solutions quickly when plans change.
  • Ability to work independently, exercise good judgment, and take ownership of travel issues through resolution.
  • High level of customer service while maintaining appropriate cost and policy discipline.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
  • Experience with corporate travel platforms, reservation systems, travel management companies, or expense management systems is highly preferred.
  • Flexibility to respond to urgent travel issues outside normal business hours when necessary.
What Success Looks Like
  • Complex travel is organized accurately and travelers know exactly where they need to be and when.
  • Large group travel and company events are executed smoothly despite significant logistical complexity.
  • Travel disruptions are resolved quickly, calmly, and with minimal impact to the business or traveler.
  • Travel and event spending stays within established budgets while maintaining appropriate traveler experience.
  • Leadership can confidently hand off complicated travel needs knowing they will be managed from beginning to end.
  • Potential problems are anticipated and addressed before they become emergencies.
Benefits
  • Comprehensive health coverage including Medical, Dental, Vision, Life, and Disability.
  • Paid Time Off.
