Sr. Clinic Manager - OUH Cardiology

Job Description:

General Description: Oversees the daily operation of a clinic.

Essential Responsibilities:

  • Personnel Supervision: Supervises clinic staff, issues warnings, conducts performance appraisals, handles personnel issues, coordinates time reports and leave requests, completes all new hire documentation, schedules training, and ensures staff are well-equipped to perform their duties.
  • Budget Assistance: Assists the Clinic Administrator in preparing the budget and monitors spending to ensure it remains within acceptable levels.
  • Complaint Management: Manages complaints from patients, staff, physicians, and others. Intervenes with physicians and initial complainants, collaborates with the Clinic Administrator to address issues, and reviews, investigates, and resolves complaints in the tracking system.
  • Accounts Payable: Codes invoices, maintains copies, provides invoice information, and maintains basic CPT and ICD-9 coding knowledge.
  • Billing Assistance: Supports the Departmental Billing Manager by resolving billing problems, improving registration and billing procedures, and ensuring accurate and timely processing of patient billing and records.
  • Supply Maintenance: Orders and tracks supplies needed for the clinic.
  • Liaison: Acts as the intermediary between HCA and external entities such as laboratories, radiology, and insurance companies to ensure proper information flow.
  • Report Preparation: Runs queries and prepares monthly clinical reports on write-offs, charges, and collections.
  • Clinic Assistance: Provides support by scheduling, managing referrals and authorizations, checking patients in and out, and completing lab and x-ray requisitions.

General Responsibilities:

  • Performs other duties as assigned.

Minimum Requirements:

Education: Bachelor's degree required; degrees in Accounting, Business Administration, Healthcare Administration, or related fields preferred.

Experience: 3-5 years of progressive leadership experience in an inpatient or outpatient clinic setting required.

Licensure/Certifications/Registrations: None required.

Knowledge, Skills & Abilities:

  • Advanced knowledge of management, organizational processes, and healthcare policy.
  • Deep understanding of Medicaid, Medicare, and applicable laws.
  • Ability to plan, organize, direct, and schedule clinic staff.
  • Capability to train and mentor personnel.
  • Excellent verbal and written communication skills.
  • Supervisory and evaluative skills for staff management.
  • Ability to identify and propose improvements in patient care and clinic processes.
