Job summary

The Senior Clinic Assistant at University of Miami/UHealth is a full-time, hybrid position based in Miami. The role works directly with patients to obtain information for medical records and supports nursing activities and laboratory collections to prepare first clinic visits.

Responsibilities include handling patient signatures, coordinating record retrieval, and maintaining accurate confidential charts in line with hospital policies. Evening/night/weekend availability may be required.

Qualifications

  • High school diploma or equivalent required.
  • Minimum 3 years of relevant experience.
  • Ability to analyze, organize and prioritize work under pressure.
  • Ability to handle confidential information with discretion.
  • Ability to work evenings, nights, and weekends as necessary.

Responsibilities

  • Explain HIPAA to patients and obtain signatures.

  • Track pending records to ensure delivery before visits.
  • Communicate with nurse coordinators when records are unavailable.
  • Travel within the facility to retrieve records and supplies.
  • Assist with specimen collection and preparation when needed.
  • Maintain accurate, confidential clinical records.
  • Assemble and process patients’ charts.
  • Assist with clerical duties (phone, faxes, emails, scanning).
  • Adhere to policies and safeguard university assets.

Sr. Clinic Assistant

The University of Miami/UHealth Department of UMH- SCCC has an exciting opportunity for a Full Time, Sr. Clinic Assistant to work Hybrid in Miami.



Core Job Summary

The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.



Core Responsibilities


  • Explains HIPPA to patients and obtains signatures.

  • Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.

  • Tracks pending records to ensure delivery prior to clinic visits.

  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.

  • Travels within the facility and campus to retrieve records, films, or CDs.

  • May collect and prepare specimens.

  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.

  • Assembles, completes, and processes patients’ charts.

  • Assists with ordering, receiving, distributing, sorting, and storing supplies.

  • Reports suspicious or unusual incidents to appropriate supervisory personnel.

  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.
