The UT Center for Professional Education & Lifelong Learning seeks to hire a Senior Administrative Services Specialist to assist the director, program coordinators, and support staff with all aspects of non-credit course and certificate program offerings. Duties will include interaction with instructors, scheduling interviews, and preparing course details. Assist program coordinators with all details of the Kids U summer camp program. Handle all company contacts for program coordinators, including interaction with instructors and company contacts. Support staff in maintaining registration processes for the department. Responsible for creating instructor/course packets for non-credit courses. Serve as the “go-to” person for the department for direction and assistance with information on past courses/instructors, course offerings, and enrollment data. This position is the department’s day-to-day operations manager.

Responsibilities
  • Work with CPELL director and the program coordinators on daily course offerings. Prepare course evaluations, course data reports, and income reporting.
  • Provide leadership with all aspects of the course data analysis to make decisions of continued offerings with enrollment data and financial management. Provide data analytics to track course trends, student performance, and course popularity to make recommendations of continued course offerings to director and program coordinators.
  • Develop and compile course surveys/evaluations from current and past students in Qualtrics to assist the CPELL team in making course improvements.
  • Manage all enrollments for online programs and all non-credit course offerings.
  • Maintain enrollment software (e.g, student data, course details, and financial input) to the ACEware software.
  • Maintain enrollment and financial data for all third-party content providers (MindEdge, Condensed Curriculum International, ed2go, The CE Shop, QuickStart, Center for Legal Studies, AllCampus, MedCerts, Elective Learning Inc., A.D. Banker, American Home Inspectors Training , and the Pat Summitt Leadership Group).
  • Prepare weekly course signs and a weekly course schedule detailing course dates, location, and instructors’ classroom needs.
  • Prepare all certificates of completion for students who request them after completing their program.
  • Send course evaluations and student responses to instructors and the CPELL director and program coordinators.
  • Handle all company/instructor paperwork from program coordinators including interaction with instructors and company contacts. Provide oversight of external contracts with third-party content providers. Manage enrollment data, payment status, and student records for accuracy. Provide oversight and management data for program coordinators
  • Develop and schedule all course dates, times, and locations in the University’s 25 Live system in addition to assigning rooms in the UT Conference Center for all non-credit courses.
  • Create and manage all things related to Qualtrics (e.g., course proposals, course evaluations, CPELL surveys, CEU registrations).
  • Process weekly deposits of enrollment and department income. (The annual income deposited for CPELL is $1.4M-$1.8M.
  • Create invoices and manage account receivable balances from ACEware software.
  • Assist program coordinators in planning and classroom set-ups (e.g., computers, audiovisual equipment, and other equipment).
