Position Description

PURPOSE: The purpose of this position is to complete duties assigned by the Elected Prosecutor and to assist the Office Manager in managing the day-to-day operations of the department and provide administrative support. This position acts under the supervision of the Office Manager. This position provides direct administrative support to the Elected Prosecutor.

This position acts under the supervision of the Office Manager. This position provides direct administrative support to the Elected Prosecutor.

Job Description

  • Acts as an Elected Prosecutor’s liaison on fiscal matters to the County, to include entering payroll, entering purchase requisitions, and the preparation of the annual capital, personnel, and operating budgets under the direction of the Elected Prosecutor.
  • Acts as Elected Prosecutors' liaison to vendors to obtain bids, prepare requests for proposals, and communicate specifications and technical requirements of purchasing projects to vendors.
  • Develops and maintains a plan for operating budget expenditures and provides budget accounting and projections as directed by the Elected Prosecutor and/or Office Manager.
  • Participate in the hiring and selection process of all support staff employees, as well as continue to be responsible for implementing practices to effectuate office policies and training employees.
  • Assist as custodian of documents such as official records, personnel files, purchasing and budget documents, Child Support reimbursement reports under the direction of the Elected Prosecutor.
  • Provides direct administrative support to the Elected Prosecutor.
  • Prepares conference and travel arrangements as needed, and schedules meetings and reservations.
  • Evaluates problems daily to determine corrective actions.
  • Prepares correspondence, legal documents, reports, lists, and other documents under the direction of the Elected Prosecutor.
  • Maintains knowledge of the judicial system and legal proceedings.
  • Revises, interprets, and implements department policy and procedure manuals.
  • Maintains accounts, prepares, and processes the certifications for the Equitable Sharing Agreement (federal and state) for the forfeiture funds received annually.
  • Maintains and prepares data, documents, and reports needed for County audits, grant audits, etc.
  • Acts as the systems administrator of Karpel and electronic data systems.
  • Back up press releases and media inquiries.
  • This position may telecommute occasionally.
  • Performs other duties as assigned.

Requirements

  • High school education or equivalent, one year of training in office management or a related area, and five years of progressively responsible law-related secretarial or administrative experience, including two years of supervisory experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities will be considered.
  • Must have demonstrated proficiency in word processing and office management skills as well as dealing with the public.
  • Employment is contingent on successfully passing a full criminal background check.
