Job summary

AV is seeking an Sr. Administrative Assistant to provide high-level administrative support to executives and managers. The role involves scheduling, documentation, and coordinating cross-functional activities to keep projects on track.

The ideal candidate has 5+ years in a fast-paced office environment, strong MS Office skills, and the ability to handle confidential information. Aerospace industry experience is preferred but not required.

Qualifications

  • 5+ years in a fast-paced, hands-on office environment.
  • Proficient with Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience researching, organizing, and coordinating multiple clerical projects within tight deadlines.
  • Experience preferred in the aerospace industry.

Responsibilities

  • Schedule meetings and coordinate logistics, including luncheons.
  • Document technical meetings and follow up on action items.
  • Work with project leads to ensure information transfer throughout projects.
  • Prepare and track Purchase Requisitions.
  • Gather information and prepare reports while maintaining confidentiality.
  • Coordinate activities between departments and external parties.
  • Handle semi-routine tasks with occasional deviations from standard procedures.
  • Assist diverse teams on projects as assigned by line managers.
  • Plan company functions and appreciation events.
  • Oversee work of vendors and escort visitors as required.

Job Description

The Sr. Administrative Assistant provides analytical and specialized and high-level administrative support to relieve executive, administrative and line managers of complex details and advanced administrative duties. In this role, one provides daily administrative tasks to support a specialized function(s) of the organization.

Position Responsibilities
  • Scheduling meetings and coordinate meeting logistics, including luncheons
  • Documenting technical meetings and follow up on action items/commitments
  • Working jointly with project leads to ensure proper information and documentation transfer throughout the life of a project
  • Preparing and tracking Purchase Requisitions
  • Contacts company personnel at all organizational levels to gather information and prepare reports, while maintaining confidentiality
  • Coordinates activities between departments and outside parties
  • Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice
  • Work with diverse group of employees to assist on projects as assigned by line managers
  • Planning company functions and appreciation activities
  • Overseeing the work of service/supply vendors
  • Escorting visitors/contractors through the building in compliance with Security policy
  • Special projects as assigned
Basic Qualifications (Required Skills & Experience)
  • Minimum of 5+ years’ experience in a fast-paced, hands-on, employee facing office environment. Manufacturing environment experience preferred.
  • High School diploma or GED Equivalent is required or equivalent combination of experience and education
  • Experienced in researching, organizing and coordinating multiple clerical projects within tight deadlines
  • Experienced and proficient with Microsoft applications (Word, Excel, PowerPoint, Outlook, Teams).
  • Previous experience working in aerospace industry is desired

The Salary Range For This Role Is

$26 - $40
