Coordinator, Sponsor Relations

Job Description

WTWH Media is seeking an experienced candidate to join our Events team. This role will be responsible for end-to-end execution and project management of sponsorship deliverables across our live events business. It is a highly visible role demanding strong project management skills and the ability to support multiple priorities in a fast-paced, deadline-driven environment. The ideal candidate is proactive, resourceful, and comfortable operating with evolving processes. The coordinator will regularly interface with internal stakeholders and external sponsors and will travel to events 10-15 times per year.

Key Responsibilities
  • Coordinate and execute sponsor onboarding process using timeline and action lists.
  • Serve as sponsor lead and key point of contact for sponsor-related needs both pre-event and on-site.
  • Act as internal point of contact between sales, marketing, content, and event operations teams.
  • Track sponsorship contracts and execution of deliverables through internal tracking processes using Cvent, Salesforce, and other systems.
  • Coordinate floor plan assignments and manage booth/table inventory availability.
  • Support fulfilment of sponsor deliverables pre-event and on-site in partnership with event operations lead.
  • Support sponsor marketing deliverables pre-event, including sponsor logo management and signage, in partnership with marketing specialists.
Requirements
  • Degree in hospitality, communications, or a related field.
  • 2+ years of relevant event, sponsorship, or client-facing experience within the events industry.
  • Ability to travel 10–15 times per year.
  • Experience with Salesforce or other CRM systems.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word) and Google Suite.
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple projects simultaneously and meet deadlines.
  • Ability to adapt quickly, think critically, and operate effectively in a fast-paced, dynamic environment.
Preferred Qualifications
  • Prior experience in a support or coordination role within events.
  • Experience coordinating and supporting conferences and trade shows.
  • Experience with event technology suites, floor plan and registration tools.
