Qualifications

  • High school diploma or equivalent and at least four years of project-related experience.
  • At least two years of project controls, project coordination, scheduling, or PMO experience; development, construction, infrastructure, or power-generation experience is preferred.
  • Proficiency with Microsoft Excel, Word, PowerPoint, Teams, SharePoint, and other standard business applications.
  • Working knowledge of project management principles, schedule management, risk and issue management, change control, document control, and governance practices.
  • Ability to organize complex information, manage competing priorities, and produce complete, accurate work within established timelines.
  • Ability to communicate complex matters clearly through concise written materials, presentations, and verbal updates.
  • Demonstrated collaboration skills and the ability to establish effective working relationships across organizational levels and functional teams.
  • Sound judgment and logic-based problem-solving skills, with the ability to identify gaps, clarify ownership, and drive follow-through.
  • Ability to influence action through preparation, transparency, relationship building, and clear accountability.

Responsibilities

  • Coordinate milestone tracking and align project schedules with approved scope, objectives, contractual commitments, and governance requirements.
  • Maintain integrated project information, including schedules, action logs, risk and issue registers, decision logs, commercial trackers, change records, lessons learned, and other PMO artifacts.
  • Partner with development, engineering, construction, operations, finance, accounting, supply chain, legal, and other functions to identify interdependencies and required decisions.
  • Support schedule development and progress measurement, including critical-path review and milestone variance analysis.
  • Identify and document project risks, issues, assumptions, and changes; coordinate owners, mitigation plans, target dates, and escalation.
  • Monitor project scope and contract requirements, including vendor and subcontractor schedule updates and changes in scope.
  • Prepare concise project status reports, dashboards, and executive updates highlighting progress, decisions, risks and actions.
  • Administer project collaboration sites and records to promote version control and document integrity.
  • Support project governance forums with updates, stakeholder meetings, stage-gate activities and lessons learned sessions.
  • Maintain PMO standards, templates and playbook requirements; provide guidance and training as processes evolve.
  • Build effective relationships with internal stakeholders, suppliers, consultants, and contractors to reinforce accountability.
  • Promote continuous improvement by capturing lessons learned and implementing improvements to tools and workflows.

Job Summary

The Specialist - Program Management Office provides disciplined project management, contract compliance, documentation, and governance support for development and construction initiatives. The role partners with cross-functional teams to establish clear milestones, integrated schedules, decision-quality reporting, and consistent execution practices across the project lifecycle.

The Specialist maintains core PMO tools and records, identifies risks and dependencies, and supports project leaders in delivering scope, schedule, cost, and business objectives. This position is critical to effective portfolio execution. It requires a proactive, highly organized professional who can coordinate across project leadership, internal business functions, and external service providers while maintaining accurate, timely, and audit-ready project information.

Job Description
Key Accountabilities

  • Monitor project scope and contract requirements, including vendor and subcontractor schedule updates, deliverables, and potential changes in scope.
  • Prepare concise, accurate project status reports, dashboards, meeting materials, and executive updates that highlight progress, decisions, risks, and actions.
  • Administer project collaboration sites and electronic records to promote version control, accessibility, consistent filing, and document integrity.
  • Support project governance forums, including project updates, stakeholder meetings, commitment reviews, stage-gate activities, and lessons learned sessions.
