Job summary

Qualifications

Job description

Job Summary

The External Reporting Specialist is responsible for coordinating, validating, analyzing, and submitting internal and external reports to institutional leadership and applicable state and federal agencies, including but not limited to the Texas Higher Education Coordinating Board (THECB) and the U.S. Department of Education (USDOE). Assists in ongoing management of assigned area case data and records. Assists in the submission of reports by specified deadlines.

ESSENTIAL FUNCTIONS

Coordinate, format, analyze, validate, and submit data and reports for assigned areas by working with designated personnel and cross-functional departments to ensure accuracy, completeness, and timeliness for internal stakeholders and external regulatory agencies.

Maintain and update electronic reporting files, edit logs, and supporting documentation, including making necessary corrections, revisions, and version controls.

Receive, organize, and route electronic files and documentation to appropriate internal or external recipients in accordance with established procedures and confidentiality requirements.

Participate in internal and external committees, working groups, or task forces related to compliance reporting, data governance, records management, or regulatory oversight, as assigned.

Perform routine and ad hoc data audits, reconciliations, and validation checks to ensure data integrity, consistency, and alignment across reporting systems and source records.

Assist in identifying user requirements for new, enhanced, or modified reporting tools, databases, or systems that support the department operations.

Support testing, validation, and implementation of new or updated reporting systems and program changes, ensuring alignment with institutional standards and regulatory expectations.

Manage and maintain divisional case data, records, and reporting datasets across multiple functional areas, supporting ongoing compliance, audit readiness, and institutional reporting requirements.

Monitor reporting calendars and statutory deadlines; assist department in ensuring all required reports are submitted in accordance with applicable laws, regulations, and agency guidelines.

Collaborate with the department leadership, functional area staff and other departments to verify data accuracy, resolve discrepancies, and address systemic process or data-flow issues.

Support audit preparation, regulatory inquiries, and compliance reviews by compiling, reconciling, and validating requested data and documentation.

Respond to ad hoc data requests, analyses, and information needs from division, auditors, regulatory agencies, and institutional stakeholders

Perform other duties, tasks and assignments as required.

QUALIFICATIONS
Education & Experience
  • Associate’s degree required
  • Bachelor’s degree in a related field preferred
  • 3 years related work experience is required
  • Demonstrated experience preparing, validating, reconciling, or submitting reports to internal leadership or external agencies.
  • Experience working with confidential, sensitive, or regulated data, with demonstrated attention to accuracy, detail, and data integrity.

Working Conditions
