The Superintendent invites qualified and interested candidates to apply for the position of Specialist, Curriculum Administration

Summary:

T he Curriculum Administrative Specialist for the Division of Instruction and School Performance (DISP) provides administrative, clerical, and logistical support for districtwide instruction, curriculum, assessment and intervention initiatives across grades K–12 and all content areas. The position supports the organization and maintenance of departmental records, tracking of curriculum resources, digital repositories, calendars, communications, and other systems necessary for the efficient operation of DISP. Responsibilities include assisting with purchasing and budget processes, tracking instructional material orders and inventory, maintaining required documentation, and coordinating with vendors, schools, and district personnel. The Curriculum Administrative Specialist also supports the planning and coordination of professional development, curriculum committees, meetings, and other instructional activities while monitoring important timelines, submissions, and departmental priorities. The position requires strong organizational, communication, technology, and problem-solving skills, as well as attention to detail, professionalism, confidentiality, and the ability to effectively manage multiple priorities.

Minimum Qualifications
  • High school diploma required; bachelor's degree preferred.
  • Exceptional organizational and time-management skills, with the ability to effectively prioritize and manage multiple responsibilities in a high-volume, fast-paced environment.
  • Strong written and verbal communication skills, with the ability to communicate effectively with a variety of stakeholders.
  • Demonstrated ability to maintain a high level of accuracy and attention to detail in administrative and recordkeeping responsibilities.
  • Intermediate to advanced proficiency with the Microsoft Office Suite, including Word and Excel. Demonstrated computer fluency with word processing and spreadsheet applications, Google Docs, and other technology used to support recordkeeping and bookkeeping functions.
  • Valid driver's license, current automobile insurance, valid vehicle registration, and access to a reliable vehicle.
  • Successful completion of required criminal history background checks and physical examination. Must provide documentation verifying U.S. citizenship or lawful permanent resident status, as required by applicable law.

ROLE & RESPONSIBILITIES

Major roles and responsibilities include:

  • Division Support
    • Provides comprehensive administrative, clerical, and logistical support for K–12 curriculum, assessment, intervention, and instructional initiatives; serves as a primary point of contact for school staff by answering calls, responding to routine inquiries, and relaying information; and prepares, formats, assembles, and distributes all departmental correspondence, curriculum documents, instructional resources, presentations, and training materials.
  • Submits Division items for inclusion on Board Agendas.
  • Maintains organized electronic and physical curriculum records by uploading, organizing, and managing curriculum resources, pacing guides, assessments, calendars, forms, and departmental documents across shared drives, learning platforms, websites, and other approved digital repositories.
  • Maintains accurate records for budgets, purchases, grants, and assigned financial activities; coordinates and secures quotes, enters requisitions, and manages all purchasing documentation (POs, invoices, packing slips, contracts); tracks curriculum material orders from quote through delivery and resolves discrepancies; and communicates with vendors regarding quotes, orders, invoices, shipments, training, and materials.
  • Communication & Coordination
    • Materials Coordination & Inventory Management
      • Coordinates with school clerks to order, receive, distribute, transfer, replenish, and reconcile curriculum materials while maintaining accurate inventory, distribution, and tracking records for district instructional resources.
    • Data Systems Management
      • Maintains spreadsheets, trackers, databases, and related systems used to monitor purchasing, inventory, professional development activities, school contacts, and departmental initiatives.
    • Directory & Distribution List Management
      • Develops and maintains current directories and distribution lists for administrators, teachers, instructional leads, interventionists, liaisons, and school clerks to support effective communication and information sharing.
    • Meeting Coordination
      • Schedules meetings, distributes agendas and reminders, coordinates meeting logistics, and maintains meeting records and documentation.
    • Event & Professional Development Logistics Supports the planning and execution of professional development sessions, curriculum meetings, committee work, and instructional events, including registration, materials preparation, technology coordination, attendance tracking, setup, and follow-up communications.
    • Training Documentation
      • Creates and maintains attendance rosters, sign-in sheets, PD records, certificates, and other required documentation.
    • Committee Support
      • Assists with coordinating curriculum committees, textbook review committees, and instructional workgroups.
      • Maintains curriculum, assessment, PD, and meeting calendars and departmental timelines.
    • Timeline Coordination
      • Tracks and monitors submissions, approvals, purchasing timelines, professional development documentation, grant requirements, assessment windows, material distributions, and other time-sensitive deadlines while supporting the communication of curriculum updates, professional development opportunities, and key departmental information to stakeholders.
      • Digital Access Coordination
        • Assists with coordinating access to district-adopted digital curriculum platforms, maintaining user lists, and communicating account needs.

Residency Requirement

Under New Jersey's "New Jersey First Act" (N.J.S.A. 52:14-7), all employees of New Jersey public school districts must maintain bona fide New Jersey residency as a condition of employment. Candidates must already reside in New Jersey or establish residency within the required timeframe after hire. Current employees who were hired on or before September 1, 2011 are exempt from this requirement and may continue to reside outside the state. In limited circumstances, applicants may request a residency waiver through the state's Employee Residency Review Committee if they can demonstrate critical need or hardship; approval is not guaranteed.
