Job summary

Seneca Gaming Corporation is seeking a Special Events Coordinator to assist the Corporate Manager of Special Events with development, coordination, and execution of company events and giveaways at Seneca Allegany Resort & Casino. You will help research, schedule, and ensure timely completion of tasks while maintaining brand standards and consistent communications.

Qualifications

  • Must be 18 years of age or older.
  • High school diploma or equivalent required.
  • At least three (3) years of casino experience required; Bachelor’s degree in Marketing or in a related field preferred.
  • Experience interacting with ACSC or other casino/property management system required; knowledge of player ratings and promotions preferred.
  • Experience with Bally BI (GUI) or other casino-related BI tools preferred.
  • Understanding of direct marketing list segmentation techniques is desirable.
  • Must be detailed oriented, well organized and self-motivated.
  • Able to negotiate vendor contracts and interact with all levels of the organization.
  • Knowledge of casino rules, regulations and procedures.
  • Marketing, promotions/events, or customer service experience required; casino experience preferred.
  • Scheduling flexibility and dependability required.
  • Must have good analytical skills.
  • Proficient computer skills (MS Windows, Word, Excel); typing 40 wpm.

Responsibilities

  • Assist Corporate Manager of Special Events in day-to-day activities; handle phones, complaints, and advertising materials accuracy.
  • Take detailed messages and resolve problems or provide requested information.
  • Manage incoming mail and research information to respond to inquiries.
  • Maintain records of scheduling, evaluations, tasks, attendance and payroll for Special Events.
  • Provide input for future promotions and attend meetings.
  • Coordinate setup and execution of parties and giveaways.
  • Assist in setup and testing of promotional software and train others.
  • Supervise events when manager is unavailable.
  • Review events based on response and revenue impact.
  • Use ACSC to review patron eligibility and promotion outcomes.
  • Prepare memos, submissions, information sheets, ProFormas, data requests and checks.
  • Coordinate with Advertising for materials creation and delivery.
  • Data entry for Purchase Requisitions and BPO entries.
  • Maintain confidentiality of casino operations information.
  • Verify data with Database Marketing to ensure accuracy of Player information.
  • Coordinate with Seneca Gaming Authority for compliance.
  • Schedule meetings and notify participants with equipment and amenities.

The Special Events Coordinator is responsible for assisting the Corporate Manager of Special Events with the development, coordination, and implementation of company events and giveaways, with a focus on the Seneca Allegany Resort & Casino property. Research, scheduling, execution, meeting project deadlines while ensuring that standards are met. The Special Events Coordinator is also responsible for charting purchases and to track paperwork and projects. The Special Events Coordinator will work to ensure that brand standards are maintained and that all communications are consistent.

Essential Functions And Responsibilities
  • Assist Corporate Manager of Special Events in all day-to-day activities, including answering phones, responding to customer complaints, editing advertising materials for accuracy, suggesting changes, organizing office files, and distributing fact sheets to executives, management, and promotions staff.
  • Answer telephone, take detailed and accurate messages, and take initiative to resolve problems or provide requested information.
  • Receive, open and distribute incoming mail as directed. Research to find the appropriate information to answer or respond to mail and/or correspondence.
  • Responsible for maintaining records of scheduling, evaluations, daily job tasks, attendance records and payroll for Special Events.
  • Provide input for future promotions and attend all necessary meetings.
  • Coordinate setup and execution of all parties and giveaways, including slot/table tournaments, gift giveaways, car giveaways, etc.
  • Assist in setup and testing of new promotional software and willing to train others.
  • Supervise Special Events when Corporate Special Events Manager is unavailable.
  • Review events based on response, customer comments, and incremental income.
  • Use ACSC Computer System to review patron eligibility, patron status, and promotion outcomes.
  • Assist in creation and assembly of memos, SGA submissions for upcoming events, promotional information sheets, ProFormas, database requests and check requests.
  • Create and submit requests to the advertising department to ensure the proper advertising materials are created, printed, personalized and mailed in a timely and cost efficient manner.
  • SWS Data entry for Purchase Requisitions and BPO entries.
  • Responsible to maintain absolute confidentiality and integrity with all written and oral information regarding tribal and casino operations, management and staff.
  • Verify data prepared by the Database Marketing department to ensure accuracy of the Casino Player information, in the ACSC casino system.
  • Cooperate with the Seneca Gaming Authority to ensure compliance with all rules and regulations of the Seneca Gaming Corporation.
  • Schedule meetings when directed. Ensure all participants are notified, equipment requirements identified and scheduled, and other amenities furnished as requested.
  • Maintain a current understanding of all policy and guidelines regarding information security including the Seneca Gaming Corporation Acceptable Use Policy. Understand and comply with all information security policies and procedures at all times.
  • Provide exceptional customer service to all patrons and communicate in a pleasant, friendly and professional manner at all times. Maintain a professional work environment with supervisors, managers and staff.
  • Meet the attendance guidelines of the job and adhere to regulatory, departmental and company policies.
  • Must complete all required SGC Training programs within nine (9) months from commencement of employment.
  • Attend all necessary meetings.
  • Duties, responsibilities, requirements and expectations pertaining to this job are subject to change as needed. Hours are determined by a 24-hour schedule.
Qualifications/Requirements
Education/Experience:
  • Must be 18 years of age or older upon employment.
  • High school diploma or equivalent required.
  • At least three (3) years of casino experience required; Bachelor’s degree in Marketing or in a related field preferred.
  • Experience interacting with ACSC or other casino/property management system, which includes a strong knowledge of player ratings, promotional setup/issuance/redemption, Player contact information screen and other marketing related information is preferred.
  • Experience with Bally BI (GUI) or other casino-related Business Intelligence and Campaign Management solution is preferred.
  • Understanding of direct marketing list segmentation techniques and theories is desirable
  • Must be detailed oriented, well organized and self-motivated.
  • Able to negotiate vendor contracts, consults with all levels of the organization, and acts as a role model.
  • Knowledge of casino rules, regulations and procedures.
  • Must present a professional appearance and demeanor in dealing with the general public.
  • Marketing, promotions/events, or customer service experience required. Casino experience preferred.
