Special Education Secretary/ Paraprofessional
Basic Functions
This is a Non-Exempt position. This position is responsible for presenting a positive school image, and performing secretary and Para-professional functions that support PSIS Vision, Mission and Core Values. The incumbent is required to perform the assigned duties in a professional manner, working with administration and staff of the school and Tribe, Omak School District, as well as coordinating with BIE for expected time line completion for fiscal audits. Much of the information is confidential in nature.
Distinguishing Career Features
The Special Education Secretary/Para professional is an intermediate level position in education that performs specialized and responsible clerical and technical tasks related to the maintenance of Special Education program databases, student records, files, and creating Service log templates for IEP students. This information is accumulated for the purpose of providing data utilized for submitting reports through the Special Education Program. Advancement in this career path is dependent upon developing experience and education related to the functions of the position.
Essential Duties and Responsibilities
- Performs other duties as assigned that support the overall objective of the position
- Serves as initial contact/resource person for the Special Education Director and Special Education Staff
- Working under direct supervision using standardized routines
- Operating within a defined budget and adhering to critical reporting time lines for State and Federal in regards to Special Education
- Understands and carries out oral and written directions efficiently and effectively
- Prepares and process various reports, records, correspondence/memos, and assignments while meeting required timelines
- Plans, organizes and supports activities of the Special Education Department under the direction of the Special Education Director
- Prepares School Board Meeting Agendas items for Special Education Director or Instructors for presentation
- Assists with activities proscribed by personnel such as Physical Therapist, Occupational Therapist and Speech Therapist
- Escorts student to each class throughout the day
- Lifting student in and out of walker/wheelchair for positioning, diaper changing or toileting. preparation and toileting support of student
- Hears request for help and observe learning difficulties from pupils, and report such matters to teacher/ Work with individual students or small groups on instruction as planned by the classroom teacher
- Monitor student and assist in instructing self-care skills including feeding, dressing, brushing teeth, combing hair, toileting, diapering, etc
- Chart individual progress of students under direction and supervision of the teacher
- Meet with teacher and other para educators for building and room staff meetings
- Maintains good attendance and punctuality
- Handles and records initial phone calls, visitors, mail, and incoming packages.
Qualifications: MINIMUM QUALIFICATIONS
- Typically requires an AA Degree OR an equivalent amount of credits AND Experience in NASIS data systems in regards to attendance, grades, ad hoc data printouts, special education, and evaluations
- May require a valid driver’s license

- Requires technical skills to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions
- Requires knowledge and awareness of office procedures to complete tasks in a highly efficient manner.
- Requires skills to compile data and create informational presentations and trainings for staff.
- Requires specific knowledge-based competencies required to satisfactorily perform the functions of the job including concepts of grammar and correct use of punctuation in writing, create documents following prescribed formats and/or present information before groups; standardized bookkeeping principles understanding of regulations & laws (e.g. Washington State Administrative Code, Special Education, and Federal) related to the job functions.
- Requires the ability to exercise independent judgment with specific guidelines and standards.
- Requires the ability to learn and operate advanced software to perform a variety of high-level computer tasks.
- Requires ability to operate standard office equipment including pertinent software applications eg, computers, Xerox, postage meters, fax, scanners, duplicating equipment, etc.
- Requires ability to multi-task in an environment with constant interruptions.
- Requires ability to prepare and maintain accurate records gather, collate, and/or classify data.
- Requires ability to handle/maintain confidential information.
- Requires demonstrated ability to adjust to and use new approaches in the performances of his/her duties.
- Requires ability to operate professionally in demeanor and work ethics .
- Ability to establish and maintain effective working relationship with supervisor and staff
Physical Abilities
- Must be able to function indoors in an office environment engaged in work of a moderately a sedentary nature
- Requires physical ability including 70% sitting, 15% walking, and 15% standing while performing job's functions
- Requires ambulatory ability to sit for extended periods of time, to utilize microcomputers and peripheral equipment, and to move about various campus locations
- Requires the ability to use near vision to read printed materials
- Requires auditory ability to carry on conversations in person and over the phone
- Requires the ability to retrieve work materials from overhead, waist, and ground level files
- Requires sustained repetitive motions and manual and finger dexterity to write, use a pointing device, keyboard at an acceptable, operate microcomputer, and operate other office equipment Requires extended periods of walking, standing, sitting, bending, twisting and lifting up to 50 lbs
Additional Requirements
Note: Pursuant to Tribal Policy, if this position is safety sensitive it is subject to pre-employment drug testing. In addition, this position is subject to reasonable suspicion and post-accident drug testing. Requires an extensive criminal background inquiry (Tribal, State, Fingerprinting, financial) and maintain clearance throughout employment. Requires adherence to healthy lifestyle and must maintain throughout employment. Must maintain Background and UA clearance throughout employment.
