Job summary

Prince George's County Government is seeking an Executive Administrative Aide (Special Assistant to the Director) to provide high-level executive, administrative, operational, and project management support to the Director of the Office of Community Relations. This confidential role coordinates initiatives, departmental operations, and community engagement efforts from the Director’s Office.

  • Associate's Degree in Business Administration or Secretarial Science.
  • Experience at Administrative Aide IV level equal to the length of the probationary period.
  • Three years of senior level secretarial/administrative experience which involved working with the public, office management and operational details, and staff supervision.

Responsibilities

  • Analyzes, interprets, and reports research findings to support executive decision-making and departmental operations.
  • Conducts independent research on issues raised by employees, governmental officials, community stakeholders, and the public and prepares summaries, findings, and recommendations as appropriate.
  • Assists in preparing organizational charts, plans, forms, reports, and related administrative data.
  • Drafts memoranda, letters, correspondence, briefing materials, and other documents for the signature of the County Executive, Director, and other leadership staff.
  • Reviews correspondence and written materials to ensure they are accurate, error-free, professionally prepared, responsive to identified concerns, and consistent with applicable County administrative procedures, including Administrative Procedure 190.
  • Manages and prioritizes the Director's calendar; confirms and schedules appointments, meetings, and engagements as applicable.
  • Schedules conference rooms, promptly notifies meeting participants, prepares meeting materials, and arranges catering and other logistical requirements when necessary.
  • Delivers telephone messages and other urgent communications promptly, clearly, and concisely.
  • Serves as a knowledgeable resource regarding the programs, services, and operations of the Office of Community Relations and appropriately refers inquiries to the responsible OCR staff member or external agency.
  • Resolves routine constituent and caller inquiries independently when possible, using knowledge of OCR programs and County services to provide accurate information and eliminate unnecessary referrals to other staff.
  • Maintains the Director's and OCR's files in an orderly manner and ensures that filing and document management are completed accurately and timely.
  • Purges office files in accordance with the approved County records retention schedule and applicable records management requirements.
  • Utilizes automated office equipment, electronic systems, and other technology in conjunction with assigned duties and responsibilities.
  • Provides executive administrative support for strategic initiatives, special projects, and departmental priorities assigned by the Director.
  • Coordinates and monitors assignments, action items, and projects on behalf of the Director to ensure timely completion and follow-up.
  • Maintains confidential executive records, correspondence, and sensitive information with discretion and professionalism.
  • Performs other executive administrative and strategic support functions necessary to facilitate the effective operation of the Office of Community Relations.

About The Position

The Executive Administrative Aide, serving under the working title of Special Assistant to the Director, provides high-level executive, administrative, operational, and project management support to the Director of the Office of Community Relations. This confidential position serves as an extension of the Director’s Office, ensuring the efficient coordination of executive initiatives, departmental operations, strategic priorities, and community engagement efforts.

Qualifications

Minimum qualifications:

  • Associate's Degree from an accredited college or university in Business Administration or Secretarial Science.
  • Must have experience at the Administrative Aide IV level equal to the length of the probationary period.

OR

  • Three (3) years of senior level secretarial/administrative experience which involved working with the public, office management and operational details, and staff supervision.

Any equivalent combination of relevant training, education and experience may also be considered.

General Plan Information

The Prince George’s County benefits plan year is from January 1 to December 31.

A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.

Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.

The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).

New employees must enroll in the County’s health benefit plans within thirty (30) days of the hire date.

The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.

After enrolling in the County’s benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and/or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
