Job description

Position: Speaker Coordinator

Location: US - East Coast (Remote)

Compensation: $50k-$55k Base + Bonus

We are working with a fast-growing technology-focused events organization within the financial services sector that convenes key market participants through digital and in-person conferences, networking events, and membership programs. They are seeking a highly organized Speaker Coordinator to support speaker management, ensure event readiness, and collaborate with internal teams and external participants to deliver outstanding events.

Key Responsibilities:

  • Manage speaker onboarding, including collection of bios, photos, agreements, presentation materials, and logistical needs.
  • Serve as the primary liaison for speakers, handling contracts, honorarium fees, travel, and accommodation support.
  • Collaborate with the event producer to research and implement new technology solutions for enhancing the speaker and attendee experience.
  • Support the speaker invite process, maintain databases, and manage updates for web content and marketing materials.
  • Proofread marketing communications for accuracy regarding speaker profiles and branding.
  • Manage onsite logistics at national and international events to ensure professional and timely execution of speaker sessions.
  • Assist with the setup and configuration of online conference and meeting platforms as needed.

Internal Collaboration:

  • Provide regular updates to the Event Producer regarding speaker progress and preparations.
  • Work closely with marketing to ensure speakers are accurately represented in event promotions.
  • Coordinate with the investor relations team on VIP speaker outreach.
  • Liaise directly with speakers to ensure preparation and communicate key event details and deadlines.
  • Support speakers with arranging prep calls and any special requests, including travel assistance.
  • Coordinate with contractors and vendors to fulfill event specifications.

Ideal Candidate Profile:

  • 2+ years of experience in a professional, corporate environment (event or conference coordination experience preferred).
  • Strong written and verbal communication skills with a high level of editorial accuracy.
  • Ability to work across time zones and cultures.
  • Ability to multitask and perform under tight deadlines.
  • Comfortable acting both proactively and reactively to live event demands.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook); Adobe software knowledge is a plus.
  • Willingness and ability to travel internationally.
