In accordance with the Trust/Research Academic Staff Agreement, this position has a comprehensive benefits package and an annual salary range of $59,822 to $82,266. This position has an initial appointment of 1 year with the possibility of renewal.

Location - This role is in-person at North Campus Edmonton.

We have successfully developed products, policies, and practice guidelines that were all driven by unmet user and healthcare needs.

Position Summary

The Department of Medicine at the University of Alberta is seeking a Project Coordinator to support the Art & Design Working Group (ADWG) within the Smartwear Revolution-a multi-year, transdisciplinary research initiative funded by the Canada First Research Excellence Fund. The Smartwear Revolution brings together artists, technologists, designers, healthcare professionals, and people with lived experience to co-create wearable smart textiles that improve mobility, reduce injury, and foster community inclusion.The ADWG plays a central role in creative knowledge mobilization, inclusive design, and the coordination of two major Art & Technology festivals. Reporting to the Senior Research Administrator and the ADWG Lead, the Project Coordinator will lead logistics for open calls, residencies, and performances while ensuring accessible, collaborative research experiences across diverse media. This is a dynamic role suited to someone with experience in both artistic production and research coordination.

Duties

  • Coordinate ADWG research and co-design activities, including timelines, meetings, and communications
  • Support festival planning, adjudication, artist onboarding, and artistic residencies
  • Maintain festival platforms, oversee submissions, contracts, and support accessibility during events
  • Supervise and support trainees, artists, and collaborators; provide onboarding and training
  • Lead preparation and tracking of research ethics, compliance documentation, and research data
  • Manage project budgets, contracts, purchases, and financial reconciliations
  • Produce internal reports, festival catalogues, and public-facing communications
  • Liaise with Smartwear leadership and other Working Groups to integrate interdisciplinary goals

Minimum Qualifications

  • Master's degree in a relevant field; PhD or postdoctoral experience is an asset
  • Minimum 3 years of experience coordinating projects involving artists and/or human participants
  • Strong experience planning public-facing events (e.g., festivals, exhibits, performances)
  • Demonstrated commitment to inclusive practices and accessibility in the arts
  • Experience managing budgets, contracts, and institutional compliance processes
  • Proficiency in MS Office, Google Workspace, Adobe Creative Suite, project management tools (e.g., Trello, Asana, Monday.com), and communications platforms
  • Strong writing and communication skills for academic and public audiences

Preferred Qualifications

  • Professional experience as an artist, curator, designer, or creative producer
  • Knowledge of accessibility standards in artistic programming
  • Familiarity with institutional systems (e.g., PeopleSoft, research ethics tools)
  • Multilingualism (especially French or Indigenous languages)
  • Experience maintaining websites, social media, and event materials
