Job description

Job Summary/Basic Function:

To advance Slate CRM efforts within the Admissions and New Student Programs department by supporting automated processes, conducting quality assurance checks, and helping coordinate Slate-related system testing and user support. This position plays a key role in ensuring system accuracy, preserving data integrity, and enhancing end-user functionality through regular testing cycles and facilitation of the internal Slate enhancement request process.

This position is fully remote for candidates who reside in the Boise metropolitan region of Idaho. Occasional in-person attendance is required for departmental meetings, collaboration days, or team gatherings on Boise State University’s campus.

Department Overview:

Boise State Undergraduate Admissions recruits and admits prospective undergraduate
students in service to the university’s enrollment goals. The general functional areas of our
department include customer service and campus visits, communications, recruitment, and systems/processing. Outreach and higher education advocacy are also important to our campus visit and other programming as we seek to serve future students in Idaho and beyond.

Level Scope:

Regularly works on tasks that are varied and complex. Applies full range and job knowledge; frequently adapts procedures, techniques, tools, materials, and/or equipment to meet specialized needs; may serve as lead; performs broad and/or focused assignments under general supervision; originality and ingenuity are often required to help establish procedures in functional area; relies on experience and judgment to plan and accomplish assigned tasks.

Essential Functions:

Seasonal System Checks and Strategic Projects - 35%

  • Conduct seasonal system checks to validate population logic, student type rules, and term-based configurations following data uploads or process changes.
  • Assist with more complex testing projects tied to larger-scale system updates, form builds, or new workflow implementations.
  • Support strategic data cleanup efforts and retention-related projects involving Slate CRM tools and automations.
  • Contribute to process improvement by providing feedback on system functionality, usability, and user requests.

System and Data Health - 25%

  • Serve as the quality control point for program-related databases by monitoring data accuracy and maintaining uniformity across records and systems.
  • Execute defensive queries and implement maintenance processes to ensure ongoing data integrity and CRM performance.
  • Run processes to identify data and materials eligible for archival or deletion, in alignment with predetermined retention timelines.

System and User Testing - 15%

  • Perform regular functional testing of Slate CRM tools, workflows, and rules to validate configuration accuracy.
  • Assist with evaluating enhancement requests or system changes by testing for usability, errors, and alignment with business needs.
  • Maintain documentation of test processes, results, and next steps in partnership with the Slate UX and Project Manager.

User Security and Requests - 10%

  • Review and route incoming system-related requests to appropriate team members for action or implementation.
  • Maintain access logs and help ensure user permissions align with internal guidelines and data security policies.

General Program Operations - 10%

  • Develop a strong working knowledge of Slate CRM and serve as a key resource for system usage and administrative processes.
  • May assist in developing and delivering training materials across units, departments, or agencies.
  • May assist with routine admissions-related tasks during peak processing periods, as needed and appropriate to the scope of the role.

Other Duties as Assigned - 5%

Perform other duties as assigned.

Knowledge, Skills, Abilities:
  • Some knowledge of computer hardware and software installation; supervisory practices; and training methods, particularly in the context of supporting team operations or learning new systems.
  • Experience managing document flow and maintaining consistency across data inputs, reports, or system records.
  • Familiarity with CRM platforms, especially as used in higher education environments.
  • Ability to test systems and workflows, troubleshoot technical issues, and analyze user-facing functionality for accuracy and usability.
  • Attention to detail and a commitment to data accuracy, usability, and maintaining a positive experience for internal and external users.
  • Strong organizational skills with the ability to track tasks, prioritize requests, and coordinate follow-up across team members.
Minimum Qualifications:

Some knowledge of: personal computer trends, capabilities, and terminology

Experience that demonstrates good knowledge of: manual and automated record management systems.

Experience: using a personal computer for data management and statistical analyses; interpreting and applying laws, rules, and procedures; performing liaison activities to deal with individuals or resolve conflicts in a work setting.

Preferred Qualifications:

  • Experience with Slate or other CRM platforms in an academic setting.
  • Familiarity with project or task management platforms for routing and tracking support requests.
  • Knowledge of data validation, quality assurance testing, or software/system maintenance workflows.
  • Comfort using queries or filters to manipulate and analyze datasets.
  • Strong attention to detail and ability to follow complex testing protocols.
  • Experience providing end-user support or system documentation.
