Responsibilities

  • Oversee daily clinical operations and patient workflows.
  • Supervise and evaluate clinic staff, MOAs and admin.
  • Coordinate recruiting, onboarding and performance reviews.

  • Develop and monitor annual operating budget with leadership.

Description

Job Summary:

The Site Supervisor oversees the day-to-day operations of the Practice Location(s) the position is assigned to. This position ensures the efficient and productive operations of the provider's and Team Members for a positive patient experience. This is accomplished through maintaining and upholding established patient care standards, operational processes, and employee policies along with effective communication with staff. Travel may be necessary to ensure adequate patient care.

Education and Experience:
  • At least 3 years clinical experience in a healthcare setting
  • Certified Medical Assistant, Associate's degree, nursing licensure and/or higher
  • At least 1-2 years supervisory experience Knowledge, Skills and Abilities:

Essential Job Functions:
  • Oversee and optimize daily clinical operations, including patient workflows, staff productivity, and patient experience.
  • Supervise, mentor, and evaluate all clinic staff, including MOAs and administrative personnel.
  • Coordinate recruiting, hiring, onboarding, orientation, and ongoing performance appraisals for clinical and administrative staff.
  • Implement and enforce clinic policies and procedures to ensure compliance with organizational, regulatory, and accrediting agency standards.
  • In collaboration with Executive Leadership, develop, manage, and monitor the site's annual operating budget; ensure fiscal responsibility and meet financial targets.
  • Facilitate payroll processes and ensure timely and accurate compensation for staff.
  • Oversee medical billing, coding accuracy, insurance claims submission, and revenue cycle management, in collaboration with Revenue Cycle Team.
  • Identify and resolve issues related to patient satisfaction, service delivery, patient flow, and throughput.
  • Maintain public relations, develop community referral partnerships, and support marketing and patient outreach initiatives.
  • Coordinate scheduling for providers and patients, manage appointment inventory, and optimize schedule utilization.
  • Monitor and ensure accurate and timely completion of all clinical and administrative documentation-including EMR use, communication notes, and compliance records.
  • Ensure compliance with OSHA, HIPAA, CDC, and other applicable safety and privacy regulations; serve as primary site contact for incident reporting and safety management.
  • Oversee procurement, inventory, and cost-effective ordering of medical and office supplies; control expenses through vendor management.
  • Manage maintenance and cleanliness of the clinical facility; coordinate with vendors for repairs and sanitation needs.
  • Manage key performance metrics to meet organizational goals; provide regular reports to Executive Leadership.
  • Lead and support technology adoption, including practice management and EHR system upgrades, IT troubleshooting, and staff training.
  • Foster a positive and collaborative workplace culture, support staff wellbeing, and execute staff morale-enhancing activities.
  • Address and document all patient concerns and complaints following office protocols; promote continuous improvement in patient experience.
  • Participate in management meetings, ongoing professional education, and organizational initiatives to ensure up-to-date leadership and regulatory compliance.
  • Perform additional duties as necessary to meet evolving practice needs and support organizational objectives.
Physical Capabilities:
  • Ability to lift a minimum of 50 pounds dead weight depending on the individual's work assignments on a daily basis.
  • Ability to frequently bend, stoop, kneel, and reach above shoulders depending on the individual's work assignments on a daily basis.
  • Ability to sit and/or stand for extended periods of time, a minimum of eight hours a day, depending on the individual's work assignments on a daily basis.
  • Ability to see, hear, speak, interact, read, write, and type sufficiently to perform the essential functions of the position.
  • Must be independently mobile on all surfaces and situations depending on the
  • individual's works assignments on a daily basis and be able to move safely about the work area.
  • Must have bilateral use of hands for repetitive fine manipulation.
  • Must have the physical stamina to work at least eight hours per day.
Environmental/working Conditions:
  • Work is performed in a medical office environment. Work involves frequent contact with staff and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.
  • Exposure to communicable diseases, blood and body fluids, toxic substances, medicinal preparations, and other conditions common to a physician's office environment.
